Item 4C Item 4C M E M O R A N D U M April 29, 2015 To:Shana Yelverton, City Manager From:Lori Payne, City Secretary Subject:Cancel the July 7, 2015 and July 21, 2015 City Council meetings Action Requested: Consider canceling the July City Council meetings Background Information: In 2011, City Council discussed the option of taking a break during the summer, more specifically the month of July. On June 7, 2011, action was taken to cancel the 2011 July meetings. At this meeting, Council discussed the possibility of canceling future meetings for the month of July. In December 2011, the City Secretary’s Office surveyed Council to determine availability and if they were agreeable to having a summer break in July. The majority of Council was in a favor of canceling the meetings.Consequently, the July 2012,2013, and 2014meetings were canceled. In preparation for the July 2015break, Planning and Development Services has set the City’s development submittal schedule accordingly, which has been communicated with the applicants. ALL SUBMITTALS ARE DUE IN THE PLANNING DEPARTMENT BY 5:00 PM 1)SPIN(SouthlakeProgramfortheInvolvementofNeighborhoods)isaninformal,voluntaryforumavailableforapplicantsto communicatewiththeresidentssurroundingthepropertywheretheyareproposingactivity.TakingadvantageoftheSPIN processisstronglyrecommendedbyP&ZandCityCouncil.Pleasecall817-748-8006orgotowww.SouthlakeSPIN.orgfor more information. 2)Althoughacompletepre-submittalisreceivedbythedeadline,thecasemaybemovedtoalaterDRCmeetingin accordancewiththecurrentcasemanagementandsubmittalpolicies.Pre-submittalsmayberequiredtoappearbeforethe ParkBoardtodiscussparkdedicationissues.Forfurtherdetails,pleasecontacttheCommunityServicesDepartmentat817- 748-8184. 3)Ifthepre-submittalneedsrevisionsperDRC,resubmittalsmustbemadeinaccordancewiththepre-submittal/DRC submittaldates.Ifreviewisclean,inaccordancewithcurrentsubmittalpolicies,aformalsubmittalmaybemadeonthenext date in the Formal Submittal column. 4)Allvariancerequestsmustbeaddressedinwritingandsubmittedwiththeformalsubmittal.Althoughacompleteformal submittalisreceivedbythedeadline,thecasemaybemovedtoalatermeetingdate.Developmentcaseswillbeplacedonthe appropriatePlanning&ZoningCommissionandCityCouncilagendasinaccordancewiththelimitationsofResolutionNo.97- 22. 5)IfnorevisionsareneededperthePlanning&ZoningCommission,thecasewillbeplacedontheCityCouncilagendain accordancewiththecolumnforCityCouncilmeetings.Ifrevisionsareneeded,resubmittalsmayberequiredinaccordancewith thesubmittaldatesinthePre-submittalcolumn.Althoughacompleteresubmittalisreceivedbythedeadline,thecasemaybe moved to a later DRC meeting date in accordance with the current submittal policies. 6) Rezoning requests require two City Council approvals. EachrequestbeingconsideredbythePlanning&ZoningCommissionandCityCouncilmustberepresentedbytheApplicant,Owneror otherdesignee. AllP&ZandCityCouncilmeetingswillbeheldintheCouncilChambers,CityofSouthlakeTownHall,1400MainStreet.P&Zwork sessiontypicallybeginat5:30p.m.withtheregularmeetingtypicallybeginningat6:30p.m.,andtheCityCouncilworksessionbeginsat5:30p.m. with the regular meeting beginning at 6:30 p.m., unless otherwise posted.
