2015-01-28CITY OF SOUTHLAKE SOUTHLAKE LIBRARY BOARD MEETING: January 28, 2015 LOCATION: 1400 Main Street, Southlake, Texas Southlake Town Hall — 4A TIME: 6:00 p.m. SOUTHLAKE LIBRARY BOARD PRESENT: Chair Brenda Flores; Southlake Library Board members, Lori Burr, Ayako Miyazaki, Cheri Ross, and Whitney Johannessen SOUTHLAKE LIBRARY BOARD ABSENT: Christina Esparza and Kimberly Roberts STAFF PRESENT: Cynthia Pfledderer, City Librarian, Jennifer Tucker, Librarian Technical Services OTHERS PRESENT: None. 1. CALL TO ORDER Library Board Chair Flores called the meeting of the Southlake Library Board to order at 6:08 p.m. 2. CONSENT AGENDA Consent Agenda items are considered to be routine by the Southlake Library Board and are enacted with one motion. Chair Flores read the consent agenda item for the record. 2A. APPROVAL OF THE MINUTES FROM THE DECEMBER 10, 2014 SOUTHLAKE LIBRARY BOARD MEETING. APPROVED A motion was made to approve the minutes from the December 10, 2014 Southlake Library Board meeting. Motion: Ross Second: Flores Ayes: Flores, Ross and Johannessen Nays: None Abstain: Miyazaki and Burr Vote: 3-0 Motion Carried. CITY LIBRARIAN'S REPORT 1. FRIENDS OF SOUTHLAKE LIBRARY UPDATE City Librarian Pfledderer discussed the move of book sale area in the library, the new sign, and the process of opening up the area after the inventory moved. She said that the FOSL book sale is bringing in approximately $450-500 a month in donations. The money is paid to the Library and twice yearly a check is made out to the Friends group for the amount of items sold. She said last year they were paid $8,778, and they gave the library $4,900 in cash to support the Summer Reading Club program. Approximately, $1,660 has been collected year-to-date. 2. STAFF UPDATES City Librarian Pfledderer noted that Jean Malone is retiring after 9 years of service and that 2 part-time staff, Rebecca Barlow and Melissa Tees, joined the Library. She noted the staff schedules and said she was excited to have the new staff on board. 3. NEW MARKETING EFFORTS A. Brochure Cards, Communications City Librarian Pfledderer discussed the new brochure that the Library has created. She noted it needed some adjusting but she is happy to be able to have a professional looking brochure to give out to new customers. She also noted that the Library will offer newly designed library cards. There is no extra charge for the designs and patrons can choose the card design they would like to have. City Librarian Pfledderer discussed the marketing efforts for the Library. She stated that previously she did all the marketing, and she wanted everyone to make marketing a part of what they were doing. The Librarians are doing some creative work including digital newsletters via e -blasts. City Librarian Pfledderer also mentioned the Library has 2 new display tables. She discussed efforts the group is doing to make the display tables fun an inviting. POLARIS 5.0 Jennifer Tucker said that the Library's automation system, Polaris upgraded on February 5. She explained the auto -renew feature some of the other new features and enhancements that will upgrade. 4B. Library Statistics will be getting and explained be part of the City Librarian Pfledderer provided the Library statistics and discussed the normal fluctuations. She noted that in November the Youth program stats are higher because of the Home for the Holidays and other holiday programs. 5. DISCUSSION 4A. Oral History Project City Librarian Pfledderer said that the City has an initiative to create a unique video to capture glimpses of Southlake to serve as an oral history of the area. The project is funded by the Community Services Department and Christopher Blay will be contracted to complete the project which is slated to start March 21 and March 28. 5. PUBLIC FORUM — Chair Flores opened the public forum and asked for anyone wishing to speak to come forward. There being no one wishing to speak, public forum was closed. 6.
