2014-12-10 CITY OF SOU THLAKE SOUTHLAKE LIBRARY BOARD MEETING: December 10, 2014 LOCATION: 1400 Main Street, Southlake, Texas Southlake Town Hall — 4B TIME: 6:00 p.m. SOUTHLAKE LIBRARY BOARD PRESENT: Chair Brenda Flores; Southlake Library Board members, Christina Esparza, Kimberly Roberts, Cheri Ross SOUTHLAKE LIBRARY BOARD ABSENT: Lori Burr, Ayako Miyazaki, Whitney Johannessen STAFF PRESENT: Cynthia Pfledderer, City Librarian, Maria Cameron, Librarian Adult Services OTHERS PRESENT: None. 1. CALL TO ORDER Library Board Chair Flores called the meeting of the Southlake Library Board to order at 6:06 p.m. 2. CONSENT AGENDA Consent Agenda items are considered to be routine by the Southlake Library Board and are enacted with one motion. Chair Flores read the consent agenda item for the record. 2A. APPROVAL OF THE MINUTES FROM THE OCTOBER 22, 2014 SOUTHLAKE LIBRARY BOARD MEETING. APPROVED A motion was made to approve the minutes from the October 22, 2014 Southlake Library Board meeting. ELECTION OF OFFICERS: ' APPROVED A motion was made to nominate Brenda Flores as Chair of the Southlake Library Board. Motion: Esparza Second: Ross Ayes: Esparza, Flores, Roberts, and Ross Nays: None Abstain: None Vote: 4 -0 Motion Carried. A motion was made to nominate Lori Burr as Vice -Chair of the Southlake Library Board. Motion: Ross Second: Esparza Ayes: Esparza, Flores, Roberts, and Ross Nays: None Abstain: None Vote: 4 -0 Motion Carried. 4. REPORTS 4A. LIBRARIAN'S REPORT 1. BARNES AND NOBLE BOOK FAIR DONATION City Librarian Pfledderer said that the Library received $399 from the Barnes and Noble book fair and it will be used for the Summer Reading Club Program. 2. CITY COUNCIL APPROVAL OF COLLECTION DEVELOPMENT POLICY City Librarian Pfledderer announced that the City Council approved the policy on November 18, 2014 and provided each member with a copy. She said the policy will allow Better World Books to handle our withdrawn materials. They will provide the shipping materials, pay for the shipping and do the sales of the materials. A monthly check is sent back to the City when it's $50 or more. UPGRADE SCHEDULE 3A. COMPUTERS City Librarian Pfledderer discussed the Library's computer upgrades and invited the members to check them out. She noted that 8 computers were replaced and additional computers will be upgraded next year. 3B. POLARIS ILS City Librarian Pfledderer discussed that the Polaris upgrade is scheduled for February 5, 2015. She said that the auto -renew feature is a new feature that will reduce late fees and will be a convenient benefit for customers. 4B. LIBRARY STATISTICS City Librarian Pfledderer provided the Library statistics and is excited to get to March so that the numbers can be more accurate from previous formulas that were done. She reviewed the numbers and discussed the details of the statistics. 5. DISCUSSION 5A. HOLIDAY EVENTS City Librarian Pfledderer discussed the upcoming events including the Grace can donations which run through January 3 and are for patron's fines only. She said DPS is accepting toys and food for the Christmas for Children Toy Drive. Also, the Department is hosting Breakfast with Santa, holiday cookie decorating, and a Peppermint Twist marionette performance in December. 6. PUBLIC FORUM — Chair Flores opened the public forum and asked for anyone wishing to speak to come forward. There being no one wishing to speak, public forum was closed. 7.
