2012-12-12OFFICIAL MINUTES December 12, 2012 Approved by the Southlake Library Board CITY OF SOUTHLAK.E Southlake Library Board Meeting: December 12, 2012 6:00112M LOCATION: Southlake Town Hall 1400 Main Street, Room 3A Southlake, Texas Members Present: Chair Brenda Flores and Library Board members Sally Biersmith; Kim Roberts, Vice Chair Michelle Spradlin. Members Absent: Lori Burr; Ayako Miyazaki, Cheri' Ross. Staff Members Present: Kerry McGeath, City Librarian; Jennifer Tucker, Library Operations Manager. Guests: None. REGULAR SESSION Agenda Item No. 1. Call to Order — The meeting was called to order by Chair Flores at 6:05 p.m. Agenda Item No. 2. Administrative Comments — A. City Librarian's Report — Digital resources have become very popular and are well used. North Richland Hills Public Library asked permission to replicate on their webpage the same format for digital resources as on our webpage. Our staff have been trained on Zinio, the resource for digital magazines. We will provide a staff refresher on Overdrive and Freading in January. Staff will teach an Intro to Ebooks class for the public on January 10, 2013. To enhance communication we have a five minute morning meeting to review that day's events. We have an email sent out at the beginning of the week detailing events for the week and any other information to help staff be informed. We have weekly mini-trainings on a variety of topics presented by different staff trainers so staff can be acquainted with details City of Southlake Values: Integrity ♦ Innovation ♦ Accountability ♦ Commitment to Excellence ♦ Teamwork OFFICIAL MINUTES December 12, 2012 Approved by the Southlake Library Board on that topic. Trainings are presented once in the morning before opening and once in the early afternoon to catch as many staff as possible. A handout is also provided for easy referral to details. We have a lending library box in the Library Reference area. A person can borrow a book on the honor system and return it when finished. A person can also place a book to share in the box. This is an Eagle Scout project proposed and executed by Mrs. Roberts' son. Mr. McGeath sent a blurb to the City Council through the City Manager's Office about special needs students and young adults performing 785 hours of volunteer service for the Library. We are exploring other opportunities to connect with various parent groups. Mrs. Jesse has engendered a cordial volunteer environment so that volunteers wish to continue to volunteer with us even after graduation. We upgraded Polaris in October. Ms. Tucker has taken the lead on initiating many customized features to make the software meet our needs. She has spent hours reviewing and learning the software's capabilities. We will be installing two self check machines within the next few weeks. Library Statistics - Mr. McGeath briefly reviewed the statistics. B. Follow up Board and Commission Orientation — Mr. McGeath reminded everyone to finish the online orientation modules. Agenda Item 3A. Consider: Approval of the minutes from the December 12, 2012 Southlake Library Board meeting. A motion was made and seconded to approve the minutes. The minutes from December 12, 2012 were approved by majority vote. Agenda Item No. 4. Public Forum — There was no one present to address the Library Board during the Public Forum. The Public Forum was opened and closed at 6:23 p.m. Agenda Item No. 5A. Discussion: Advocacy Program Update. 1. Library Fundraising Gala — Mr. McGeath will meet with Mrs. Ross next week to discuss details. Mrs. Laura Bush will not be available as far as we know. Board Opportunities - There are many volunteer opportunities in the Library. Mr. McGeath encouraged the Board to speak about the Library at every opportunity. Agenda Item No. 5B. Discussion: Texas Library Association Update. Ms. Tucker is an officer for several roundtables and is on the Bylaws Committee. Mr. McGeath is on the Programming Committee for the 2014 Conference. Agenda Item No. 5C. Discussion: Friends of Southlake (FOSL) Update. FOSL is continuing a successful book sale operation. Mrs. Tubbesing is the driving force behind the book sales. She comes faithfully every week to sort materials and restock the shelves. The book sales generate $5-6K dollars per year. Mr. McGeath is still working with Finance to have a check off option on the water bills so water customers can donate $1 to the Library. He is also working with Finance to take credit card payments online for Library fees and charges. Agenda Item No. 6. Adjournment.
