Item 4NCITY OF SOUTHLAKE MEMORANDUM October 31, 2012 TO: Shana Yelverton, City Manager FROM: Chris Tribble, Director of Community Services SUBJECT: Approve the renewal of Services for an amount landscape services, and services. 4N -1 a contract with Signature Contracting not to exceed $15,000 for Group 5 as the alternate for Group 4 landscape Action Requested: Approve the renewal of a contract with Signature Contracting Services for an amount not to exceed $15,000 for Group 5 landscape services, and as the alternate for Group 4 landscape services. Background Information: In March 2011, a contract was awarded to Signature Contracting Services for the term of April 7, 2011 through December 31, 2011 with the provision that the contract was eligible to be renewed up to four (4), one (1) year annual renewals beginning on January 1, 2012. The City opted to renew the contract in January 2012 for one year, which is due to expire December 31, 2012. Signature Contracting Services has confirmed their price will remain the same as the previous contract amount, no price increase is requested. Group 5 landscape services include brush hog mowing and trash pick -up services at the Royal & Annie Smith Park, Southlake Sports Complex, Bob Jones Nature Center & Preserve, Senior Center, Public Works Operations Center, Pump Station #1, Bob Jones Park and other City -owned properties. The original contract approved in March 2011 was evaluated by a committee consisting of four staff members that reviewed all submitted bids and scored them based on the overall cost, ability to perform, equipment listings, required City of Southlake Values. There were eight bidders for Group 5 landscape services of which Signature Contracting Services scored the highest. Based on previous performance, satisfaction of services, and price, staff recommends the renewal of the contract with Signature Contracting Services through December 31, 2013. Financial Considerations: $616,800 is allocated in the FY 2013 General Fund Operating Budget for contract landscape services. We will start each cycle at 0700 hrs. on Monday and will complete the mowing cycle on all designated sites on or before 1600 hrs. on Friday of the same cycle or as directed by the City of Southlake.
