Plans for Festival of Trees Events
Action
Requested: City Council consideration of the Greater Southlake Women's
Society plans for the Festival of Trees events
Background
Information: Since 2008, the Greater Southlake Women's Society (GSWS) has
hosted the Festival of Trees events in Southlake Town Square.
This year the GSWS is requesting approval to display four (4)
professionally decorated trees in the lobby of Town Hall from
November 7 — December 16, 2011.
Throughout the time the trees are on display, the GSWS will sell
raffle tickets for $10.00 each with proceeds benefitting the local
charities. The drawing will be held on December 15, and the GSWS
will deliver the trees to the winners on December 16.
The GSWS is also requesting that the Town Hall lobby be open to
the public on the night of the City's annual Holiday Tree Lighting
event to allow those in attendance to view the trees and participate
in the raffle if they so desire. As you recall, the lobby is historically
closed to the public on this evening and the City Council holds its
holiday reception in the lobby just prior to the tree lighting
ceremony. If approved, staff requests City Council's direction on
how it would like to proceed with the reception.
In addition to the display of trees, the GSWS is requesting approval
to display two Park Place Motorcars (sponsor of the GSWS Festival
of Trees) vehicles on the pedestrian sidewalk corners at the
southeast corner of State & Main and the southwest corner of
Fountain & Grand (adjacent to the Rustin Park Pavilion) from
November 7 — December 16, 2011.

If approved, staff recommends that the display vehicles be removed
during the time period of 4:00 pm, Friday, November 18 — 9:00 am
Sunday, November 20, 2011, to avoid space conflicts with the
City's annual Holiday Tree Lighting event scheduled for Saturday,
November 19, 2011. Staff has alerted the GSWS of this
recommendation, and the GSWS is working with another private
entity to display the vehicles during this time on its property.
The GSWS also requests approval of these plans for a period of
two years (2011 and 2012).
Financial
Considerations: A separate agenda item may be presented for the City Council's
consideration on September 20, 2011 regarding the GSWS request
for a Community Event Participation Agreement involving the award
of Hotel Occupancy Tax funding for the Festival of Trees.
Strategic Link: The Festival of Trees event is aligned with the Strategic Focus Area
of Partnerships and Volunteerism and meets the Corporate
Objective to Promote Opportunities for Partnerships and Volunteer
Involvement.
