Community Event Participation Policy

applications for City participation in
community events
• $50,000 was budgeted
Showcase in the Square —
A Drum & Bugle Corps Event
• Application is from APEX Arts League and Crossman
World Class Drum Corps
• Sunday, June 19th, 2011
• Invited and participating Drum & Bugle Corps from
throughout Texas will perform their repertoire in front
of the community and audience. The estimated
attendance of this event is approximately 2,000 people
with a draw from outside of the City of Southlake. The
target audience will be music students and family
members from throughout the North Tarrant County
area with a specific focus on Muddle and High School
musicians from 20 identified public and private school
districts.

• The application identifies the staffing
and equipment necessary to support the
event.
-The costs for staff & equipment have
been estimated and included in the totals.

• APEX Arts League and Crossman World Class Drum
Corps will be required to provide a 50/50 match of
contributions by the City.
• Request will be based on actual costs incurred, not to
exceed $454.19 which is 50% of the estimated cost of
$908.37.
• APEX Arts League and Crossman World Class Drum
Corps would be responsible for incurring the cost for
damage to any equipment should it occur during their
use as well as all other cost related to the event.

Community Event Participation Policy
-Staff recommends approval of the
Participation Agreement with APEX Arts
League and Crossman World Class Drum
Corps for the 2011 Showcase in the
Square- A Drum & Bugle Corps Event, not
to exceed $454.19 which is 50% of the
estimated cost of $908.37.
