Item 5BCity of Southlake, Texas MEMORANDUM October 28, 2004 To: Billy Campbell, City Manager From: Gary Gregg, Technical Services Manger Subject: Authorize the City Manager to execute a contract with Microsoft Corporation for an enterprise software agreement. Action Requested: Authorize the City Manager to execute a contract with Microsoft Corporation for an enterprise software agreement for $62,625. Background Information: The City of Southlake currently has 225 computers actively in its inventory and being used on a daily basis. These computers have various different revisions of Windows operating systems and Office productivity suites installed. The management of these devices is difficult because of the differences between platforms. Users are not able to fully utilize productivity enhancements based on differences between software revisions. This contract will allow the City of Southlake to bring all our computers and servers to the most current software levels, maintain them there as well as simplify license management. The agreement further provides for home use rights for city employees as well as provides for enhanced online training for enrolled city employees. Financial Considerations: This is a three year agreement with provisions for a fourth and fifth year renewal at reduced costs. The contract contains necessary language regarding cancellation should future councils choose not to fund it. This item was budgeted in the FY 04/05 Support Services budget. Citizen Input/ Board Review: None Legal Review: The City Attorney is currently reviewing the proposed agreement and any necessary changes will be incorporated before final signatures are obtained. Alternatives: The Council may approve the agreement or deny it. If the Council chooses to deny approval, desktop software will be replaced on a case by case basis as funding allows.
