2011-01-26 OFFICIAL MINUTES Approved by the Southlake Library Board 1M CITY OF SOUTHLAKE 2 3 Southlake Library Board Meeting: 4 January 26, 2011 5 6 LOCATION: Southlake Town Hall 7 1400 Main Street, Room 3D 8 Southlake, Texas 9 10 Members Present: Library Board Chair June Koelker, Vice Chair Brenda Flores, and 11 Library Board members Lori Burr, Emily Galpin and Kimberly Roberts 12 13 Commission Members Absent: Cheri' Ross 14 15 Staff Members Present: Kerry McGeath, Deputy Director of Community Services — 16 Library; Jennifer Tucker, Librarian - Operations Manager 17 18 Guests: None 19 20 REGULAR SESSION 21 22 Agenda Item No. 1. Call to Order — The meeting was called to order by Chair Koelker at 23 7:06 p.m. 24 25 Agenda Item No. 2. Administrative Comments 26 27 A. City Librarian's Report — Director McGeath reported Council member 28 Carolyn Morris and Charlene Weirsum are exploring the possibility of 29 restarting a Library Foundation which could raise larger grant funds 30 specifically for the Southlake Library. The Library has been the benefactor 31 of previous grants from the Sid Richardson Foundation, the Hudson 32 Foundation and Hillcrest Foundation. If a Foundation is formed, a grant 33 writer may be hired to pursue available local, state and federal grants for 34 libraries. A Foundation that benefits the Library would give the library 35 greater flexibility to receive funding for projects that cannot be met through 36 the usual budget allocations. Such as, the Library would like to add a 37 feature, "local history section," at the entry to the library and there are ten 38 other identified projects that could be funded through grants. 39 40 Director McGeath and Cynthia Pfledderer are taking a more proactive 41 position in the community. They are becoming more involved with the 42 Southlake Chamber of Commerce luncheons and events and the Carroll 43 ISD. They will also be working on the revisions to the Southlake Master 44 Plans, beginning with the Bob Jones Nature Center Master Plan and the City of Southlake Values: Integrity ♦ Innovation ♦ Accountability ♦ Commitment to Excellence ♦ Teamwork OFFICIAL MINUTES Approved by the Southlake Library Board 1 Southlake Arts Council Master Plan. Their involvement in the community 2 and with other organizations will help raise awareness of the services, 3 activities and benefits the library provides. Director McGeath commended 4 his staff for their fine work with the library which has allowed him to take a 5 more proactive role in the community. 6 7 Director McGeath also reported that Shawn Brumley provided a quote 8 recently on a new upgrade for a check -in /check -out system and the price 9 has been reduced about $30,000 to approximately $64,000. There are not 10 available budget funds for such an expenditure at this time so this could 11 be one area that a grant funding could be pursued to cover an upgrade. 12 Staff may also let the Hudson Foundation know about this need. 13 14 B. Library Statistics — Director McGeath reported the library had its biggest 15 December ever as far as traffic and circulation — each month is showing an 16 increase from the previous year's stats. The branches at Watermere, Sabre 17 and the senior center are going very strong. The virtual branch for the 18 nature center is still being worked on and a computer and monitor has 19 been located for the center. Statistics report will be distributed at another 20 time. 21 22 Agenda Item 3A. Consider: Approval of the minutes from the October 26, 2010 23 Southlake Library Board meeting. 24 25 Motion was made to approve the minutes of the October 26, 2010 Library Board 26 meeting. 27 Motion: Roberts 28 Second: Burr 29 Ayes: Burr, Flores, Galpin, Koelker and Roberts 30 Nays: None 31 Abstention: None 32 Vote: 5 -0 33 Motion carried. 34 35 Agenda Item No. 4. Public Forum — There was no one present to address the 36 Commission during Public Forum. Public Forum was opened and closed at 7:29 p.m. 37 38 Agenda Item No. 5A, Discussion: Advocacy Program Update — Director McGeath led a 39 discussion about the proposed library foundation opportunities and FOSL's campaign to 40 sell book bags. As an incentive to purchase the book bags, Chick -Fil -A is offering a free 41 sandwich to anyone that purchases a bag. 42 43 Agenda Item No. 5B. Discussion: Board Opportunities Update — The Board was 44 provided details about the Southlake Tailgate Event to be held Saturday, February 5, 45 2011 at Town Square in Cornish Park. OFFICIAL MINUTES Approved by the Southlake Library Board 1 were encouraged to participate. A sign -up sheet was distributed. The library will host the 2 Information Booth at the event. 3 4 a. Visit area libraries - -- Plans are being made for a visit to several area public 5 libraries and in April. Staff will provide more details when available. 6 7 b. Library Foundation Opportunities - -- This item discussed in Librarian's Report. 8 9 Agenda Item No. 5C. Discussion: North Texas Regional Library System (NTRLS) 10 Update -- Ms. Pfledderer and Director McGeath are doing programs for the NTRLS on 11 time management and ethics programs. 12 13 Library is planning to have a collection of popular downloadable audio compatible with 14 IPod and some droids available in April. They will also get E -pub and PDF that work 15 with portable reading devices. Staff hopes to debut these in April once the website is 16 built. The library has also added Book Flicks and Tumble Books interactive resources 17 for youth patrons which can be accessed through the library's website. 18 19 Agenda Item No. 5D. Discussion: Friends of the Library (FOSL) Update — FOSL's sale 20 of book bags has not gone as well as hoped but staff is looking for opportunities for 21 more sales as mentioned above.
