Item 10BApril 13, 2005 Mayor and City Council City of Southlake 1400 Main Street Southlake, TX 76092 Re: City of Southlake 50 Anniversary Celebration Ladies and Gentlemen: The City of Southlake celebrates its 50 anniversary on September 25, 1956. This is a great opportunity to commemorate the City's accomplishments with a wide variety of events and activities throughout 2006. Mayor Wambsganss is proposing a 50 Anniversary Planning Committee comprised of a broad cross - section of the Southlake community. I have been asked to propose a committee framework that will plan and coordinate the events and activities. Below you will find six committees: Events; Fundraising /Finance; Marketing/Promotion/Technology; Education /Intergovernmental; Arts and Culture; and Heritage. Within each committee you will also see suggested work groups, plus examples of tasks that could be assigned. This is simply a starting point for the Council's discussion, and is of course subject to change. The Council should schedule a kick -off Committee meeting no later than June 2005 in order to get things rollinE, solicit community support and develop a budget. The first task of the Southlake 50 Anniversary Committee should be to develop a theme and logo, which will provide continuity and focus for events in 2006. The Committee plans, programs and implements the events and outlines the resources and budget needs in collaboration with other committees. Participants: Mayor and Council; City staff, Park Board; Sister Cities; SPIN; P &Z; Keep Southlake Beautiful; SYAC; Friends of the Southlake Library Tasks: Stars & Stripes Celebration; Art in the Square; Octoberfest; Homecoming; Entry Portal unveiling; Historical marker unveiling; Former Mayors and Councilmember reception; Long -time residents reception; Black Tie formal event; Business celebration; Time capsule; Futuristic visioning /display /children's event Fundraising /Finance Committee The Fundraising /Finance Committee raises funds to support the efforts of Southlake's 50 Anniversary celebration. The Committee raises sufficient funds to carry out the celebration efforts. They also establish a budget and work closely with the City of Southlake to maintain an ongoing financial picture of where the 50 Anniversary Committee stands at any time. The Committee also manages the process for requesting and approving expenditures, and is the clearinghouse for donations received. Participants: City staff, Chamber of Commerce; Mayor and Council; Kiwanis; Rotary; Lions Tasks: Develop sponsorship program; coordinate with other committees Marketing/Promotion /Technology Committee The Marketing/Promotion/Technology Committee assures the dissemination of promotional information relating to the celebration of Southlake's 50 Anniversary to residents and media outlets, and presents a cohesive and coordinated visual presence for all related materials. They also coordinate the electronic tools used to facilitate communication throughout the 50 Anniversary Committees. Participants: City staff, SPIN; Mayor and City Council; Interested Citizens Tasks: Webpage development; logo development; weblog; commemorative items for sale - holiday ornament, apparel; keepsakes; newsletter; press releases; media contact — newspapers, magazines (Texas Highways, Texas Monthly, etc.); signage in Town Square; lapel pins /buttons; car stickers Southlake 50 Anniversary Celebration April 13, 2005; page 2 of 3 Education/Intergovernmental Committee The Education/Intergovernmental Committee coordinates the participation of students throughout the City in events and activities associated with the 50 Anniversary celebration. They also work with other governmental agencies such as Tarrant and Denton counties to invite their participation and interest. Participants: Carroll ISD officials; Keller ISD officials, Grapevine - Colleyville ISD officials; Tarrant County; Denton County; Joint Use Committee; Park Board; Interested Citizens; Bob Jones Nature Center Tasks: School presentations; living history presentation; nature walks — Cross Timbers; Arts and Culture Committee The Arts and Culture Committee's goal is to raise awareness of the 50 Anniversary celebration through a wide range of arts and cultural activities. Participants: Art Advisory committee; local artists; CISD art classes; interested citizens; Library Board; Park Board; Southlake Women's Club; Southlake Sister Cities; Arts Council of Northeast Tarrant County; Interested Citizens; Southlake Garden Club; Senior Advisory Committee Tasks: Commemorative Poster contest; Historical mural painting; Essay contest; Sister Cities events; Art displays; Commemorative painting /notecards Heritage Committee The Heritage Committee supports and coordinates anniversary year efforts to preserve, document and celebrate Southlake's history. Participants: Southlake Historical Society; Westlake Historical Society; Grapevine Historical Society; Colleyville Historical Society; long -time Southlake residents; former mayors and councilmembers; Mayor's Advisory Committee; Senior Advisory Committee; Area churches; Interested Citizens Tasks: Southlake History book; historical displays; oral histories; genealogy; Historical Tour of Southlake — develop brochure; Historic overlay map; Southlake 50"' Anniversary Celebration April 13, 2005, page 3 of 3
