Item 4GM E M O R A N D U M March 23, 2010 TO: Shana Yelverton, City Manager FROM: Chris Tribble, Director of Community Services Approve renewal of and amendment to contract with American SUBJECT: Landscape Systems for landscape maintenance services in the amount of $95,445 ________________________________________________________________ Action Requested: Approve renewal of and amendment to contract with American Landscape Systems for landscape maintenance services in the amount of $95,445. Background Information : The FY 2010 General Fund Operating Budget contains a line item amount of $259,240 for contract landscape services. The annual contract for Southlake Town Square and Grand Avenue public areas, McPherson Park, Summit Park and Central Park represents a high level of service to all public areas including mowing, edging, fertilization, aeration, seasonal color, rye over-seeding, clean-up, irrigation, and tree, shrub, and groundcover maintenance. American Landscape Systems of Dallas was originally awarded the landscape maintenance contract for Town Square in January of 2002, at which time staff reviewed their references and visited three sites they maintain. The contract was re-bid in March 2006 to include Grand Avenue public areas, McPherson, Summit, and Central Parks. American Landscape Systems was low bidder ($73,050) and was awarded the contract which provides the option for four (4) one-year renewals. Over the last year, landscape enhancements around Town Hall and Rustin Park have resulted in an increase in the amount of seasonal color required for each color change. There is also a color bed at Summit Park that was not in the original plans and has not been included in the contract totals. The additional cost associated with these beds is $10,395. The contract landscape maintenance services on the new DPS headquarters facility will cost an additional $12,000 through December 2010. 4G - 1 Shana Yelverton, City Manager City Council Meeting Date – April 6, 2010 Page 2 of 5 Together, these additions represent an increase of $22,395. Details of the additional costs for landscape maintenance services are attached. American Landscape Systems has expressed a desire to renew and has not requested an increase in the base contract amount. This would be the fourth and final possible renewal option. Financial Considerations: $259,240 is allocated in the FY 2010 General Fund Operating Budget for contract landscape services.
