purpose of this brief presentation is to clearly explain Consent Agenda item 4M,
Approve purchase of software licenses to Microsoft Corporation in the amount of
$99,618.54.

The payment to Microsoft is directly tied to the City’s strategic map items B6 and F4.
The Enterprise agreement enables the IT department to maintain supportable
systems and services as well as ensure license compliancy with Microsoft.

In January of 2008, the city enteredinto a 3 year Enterprise Agreement with
Microsoft Corporation. The EA enables the city to reduce overall license cost, provide
upgrade rights to the newest versions of current install applications, provides training
vouchers for all city employees, and the ability for all employees to purchase
Microsoft products at a significantly reduced price. The city is able to install
Microsoft software throughout the calendar year and pay a one time reduced license
fee, called a ‘true-up’ for all installed software towards the end of that year. The city
is required to own a valid license for each application or services utilized on city
equipment as dictated by Microsoft software license contracts.

In November of2009, the IT department completed a city wide system audit of all
devices. The audit findings resulted in a $99,618,54 total cost to properly license all
system and application software packages. Council approved an FY2010 budget line
item in the amount of $117,000 resulting in a $17,381.46 positive variance.
