SOUTH LAKE Item 4B
MEMORANDUM
October 6, 2026
To: Alison Ortowski, City Manager
From: Pritam Deshmukh, P.E. Director of Public Works
Subject: Approve the quote from Vari Sales Corporation for the
purchase and installation of furniture for the Municipal Service
Center and Public Safety Training Tower Project, in an amount
not to exceed $154,438.
Action
Requested: Approve the quote from Vari Sales Corporation (Vari) for the
purchase and installation of furniture for the Municipal Service
Center and Public Safety Training Tower (MSC & PSTT) Project, in
an amount not to exceed $154,438.
Background
Information: The MSC & PSTT are currently under construction on the 13-acre
site at 1605 Brumlow Avenue. The new facility replaces the existing
Public Works Operations (PWO) facility at 1950 East Continental
Boulevard and will house all Public Works Operations divisions that
are currently based at the existing PWO facility, as well as
consolidate additional operational functions that are currently
located elsewhere, such as the Southlake Water Utilities Customer
Service and the Facilities Services Division. The new facility was
designed as a single, purpose-built complex that is designed to
support long-term operational needs. In addition, the project will
provide a dedicated training facility for the Police and Fire
Departments, including a four-story training tower.
This project includes a two-story Administration Building, Service
Bay Building, four-story Public Safety Training Tower, pole barn,
fuel station and comprehensive site improvements. Byrne
Construction Services (Byrne) started work in August 2025, and
completion and department move-in is anticipated for early 2027.
Prior to moving into of the Administration and Service Bay Buildings
at the MSC & PSTT site, new office furniture will be installed for all
the offices, workstation locations, meeting room, and breakroom.
The new office furniture includes desks, tables, drawers, chairs,
filing cabinets, shelving and storage.

Item 413
Vari is the proposed vendor for these goods. Vari is a local
company from Coppell that previously provided office furniture for
other City projects such as the Emergency Operations Center
(EOC), Southlake Pickleball Complex, and smaller suite
renovations in Town Hall. The City engaged Vari during the design
phase to help develop the Furniture, Fixtures, and Equipment
(FF&E) plans for this project.
The City plans to procure furniture for the MSC & PSTT Project
from Vari, through a cooperative purchasing agreement. This
mechanism allows the City to streamline the procurement process
and obtain discounted pricing for the goods. Staff compared Vari's
pricing with pricing from two online businesses/office furniture
vendors that have locations in Dallas. Compared with the other two
vendors' total cost for providing similar office furnishings, Vari's
price was 20% lower. In addition, Vari's pricing has remained
consistent since the design phase.
This purchase in an amount not to exceed $154,438, includes a
furniture purchase of $140,398 and a $14,040 (10%) contingency
for expenses that may arise due to unforeseen circumstances.
Financial
Considerations: Funding for this purchase is available in the Capital Improvement
Program as part of the Southlake Municipal Service Center and
Public Safety Training Tower Project. The purchase of furniture
from Vari aligns with the approved scope of work, the FF&E plan
and the overall budget. No additional appropriation is being
requested as part of this action.
Strategic Link: This item links to the City's Strategy Map strategic focus area of
Infrastructure & Development. It specifically relates to the City's
Corporate Objectives F2: Investing to provide & maintain high
quality public assets.
