Upcoming Partner Programs: AARP Tax Aide, Mahjong Mondays City Librarian Pfledderer presented to the Board newly created partnership programs. Programs that have begun include student -led art programs for children, and Mahjong Mondays, which had a very strong response from the community. This led to more classes requested from the programmer. AARP Tax Preparation is starting off in the next week for seniors, as well as those on a lower income. These are offered Thursday's afternoons through April ninth and are consistently in very high demand. There will be some facility conflicts with these appointments due to elections held on the 3rd floor. This results in a reduction of appointment spots during those three weeks. The library is also partnered with Watermere, Harbor Chase, and Discovery Village. The library recently conducted an outreach at Discovery Village to sign up residents for library cards. The library is also encouraging their residents to seek out The Talking Books Program, which is a free service run by the State Library of Texas for individuals with vision impairments. The library coordinates with Watermere and Harbor Chase to have special pick-up days each week, where a resident volunteer picks up the holds for those residences. This service is not a high demand service but meets the needs of that community. B. CISD Art Exhibition City Librarian Pfledderer notes that CISD has a long history of partnership with the library. Each year starting in January, the schools rotate student art on a display in the library. This is primarily focused on younger students. She estimates that around 1,200 people visit the final exhibit held at Art in the Square in April. This program highlights the talent of the art teachers and students at these schools. C. Website Redesign Project The City of Southlake website will be going through a redesign. Library Marketing Coordinator Andrew Burnett is on the city team working on this project. This update will not affect the library catalog, as that is a separate website from the city site, but will affect the library page on the city site. It is expected to start this quarter and finish by end of the fiscal year. Lauren Green asked how the city went about the process of finding the right people to go about a redesign, as the Library Foundation is also in need of a website redesign. The city uses CivicPlus, which services municipalities. She noted that there can be complications when combining online services into one system. Green also asked if the library has some say in the design and content of the website. Pfledderer noted that the library only has control over the content, as the design must fit the design scheme set for the city to be cohesive. The goal for the library website redesign is to enhance the calendar feature offered through CivicPlus to replace the LibCal one that the library is using now for study rooms and programs, to eliminate that extra cost. 4. LIBRARIAN'S REPORT City Librarian Pfledderer presented to the Board the statistics for the month of December. Print circulation is up 2%, and flat for the year for the end of the first quarter. Digital circ is down 5% for December, but flat for the year, so total circ is flat for the year. Other digital usage is up for the month, but down overall for the year. EBSCO is an expensive product that was added last year after losing it when it was dropped by TexShare. It is approx. $9,700 per year for the library to offer it. Currently, TexShare offers Gale, which is not as good a product as EBSCO. The library decided to offer it at its own expense, as it was always a very popular product that was offered, but since adding it back, it has not seen as good of usage. There are various reasons that it might have fallen off, including that the schools are not replacing the school librarians as they're retiring. Pfledderer created a ROI on all the resources that the library has and what is being paid for. EBSCO and NewsStand currently have the lowest ROI of the library's resources. Currently, magazines are performing three times as well through Libby as part of the consortium that the library is a part of than NewsStand. As the City gets in to planning the next budget year, these will be considered for elimination. Pfledderer also shared the results of a recent meeting that she had with cloudLibrary. There are 73 libraries in consortium, and there are 90,468 unique eBooks in the collection, 42,407 unique audiobooks, but over 312,000 copies of books. Over the last year there's been a slight ebook usage decline, but an increase of audiobooks in terms of usage. eBooks declined 7%, but audiobooks increased 7%. Also saw reduction in usage due to fewer funds spent in cloudLibrary due to budget cuts. Local book usage went down 14%. Collection metrics show that 60% of what is circulating is adult fiction, 15% is juvenile fiction, 14% is adult nonfiction, and 10% is teen fiction. Our purchase amounts for adult fiction are about 53% of the budget, for the 15% of juvenile fiction, we're spending 18% of the budget, for the nonfiction, 14%, and for the teen 13%. But in print, mysteries and thrillers are at the top, followed by romance, and then historical, sci/fi and fantasy, and then inspirational. cloudLibrary went down 7% in the month, and down 5% for the year. Libby continues to increase in usage, and the library is having to increase its contributions. The focus for extra cost items will be those things with high holds ratios. Janet Theaker asked as to the cost of Libby/Kindle materials. The cost for Libby is $3,000, and then another $3000 for content to the consortium. Southlake Library has not been contributing to the collections as any digital books that the library purchases goes towards cloudLibrary. The library is paying for access to Libby, not specific titles. NewsStand is down 55% for the month and 22% for the quarter. This product has its own app, and so she is loathe to get rid of it, unless the money comes down to it. Computer usage continues to increase. Study room usage also continues to grow, and the back of the library is often fully packed. Big boost to adult programming in December and is up 40% for year. There was a Holiday Open House which brought in 250 people. There were more youth programs this December, so increased 31 %, and up 34% for year. Story time continues to decline. Up 55% in December, but down 12% for year. The library continues to purchase ILL requested materials for the library instead of requesting them, if it is cost-effective and the material can be used again. Volunteers continue to be in a weird phase with regular volunteers not returning on a regular basis. We were down 8% for the month, and down 10% for the year. The library is working to resolve this by asking all staff to take the time to engage with the volunteers and make those connections with them. Pfledderer then informed the Board that the library did have to issue a Criminal Trespass Warning to an individual that has continuously had difficulty in adhering to library policies. On Monday prior to the meeting during the city closure caused by the icy weather, this individual entered the library while it was closed, where they proceeded to stay for seven hours. In that time, this individual had taken staff snacks, as well as urinated in a library trashcan. The individual was discovered in the evening by the cleaning staff, who reported them to City Hall security, who removed them from the premises. 5. LIBRARY FOUNDATION OF SOUTHLAKE UPDATE Board member Lauren Green shared with the Board an update on Book Blizzard Bingo. She noted that Library staff indicated a request for sign-up assistance for the program, like is done during the summer reading program. She indicated that the participant number was not quite as high as they would've liked. She noted that the library might look in to scheduling volunteer assistance for the program for the next winter break. 6. NEW BUSINESS City Librarian Pfledderer asked if they had any new business that they wished to discuss. She did let them know that what will be discussed at the next meeting will be the Annual Report. David asked when the budget kickoff will be. She let him know that they'll be doing IT recommendations now, and they'll do an optimization project this year. They'll work on it now through September. Official kickoff for budget will be in February. Lauren Green circled back to the Foundation and let the Board know that they have a new member, and that person is in middle school. This member has made a request for more teen friendly beverage options for the library coffee service. Pfledderer let her know that the library routinely puts out hot cocoa during the winter season, to go along with the coffee and hot tea. 7. PUBLIC FORUM The public forum was opened at 7:18 p.m., and being no public present, it was closed at 7.19 p.m. David Triechler used this time to update the Board with his intent to have a meeting with the mayor regarding the utilization of Durham Intermediate in February. He then asked the Board if they wanted to go as a group to express interest in purchasing the school for a new library. Lauren indicated a hesitation to present as a Board an interest in pursuing that avenue, when the City is already working on a master plan of the Parkwood property as a multi -use opportunity that would include a new library. Will Doby also noted hesitation, but both Board members let him know that it is worthwhile for him to have that conversation as a private citizen. 8. ADJOURNMENT The next meeting is scheduled for February 25, 2026, at 6:30 p.m. at the Parkwood Training Center.
