Shady Oaks Dr. – The purpose of this item is for the SYAC Board to
consider renewing the Keep Southlake Beautiful Adopt-A-Street contract
for Shady Oaks Dr. A memo is included in your packet.
4.Agenda Item No. 4. Discussion
A.Preparing to host elections with the City Secretary’s Office- The purpose
of this item is to learn how the City Secretary’s Office prepares to host
elections. Mayor Shawn McCaskill and City Council Member Frances
Scharli will be in attendance. No packet item.
5.Agenda Item No. 5. Adjournment

Board Retreat held October 14, 2024
Srishthi Das presented item 2B for SYAC consideration and
Community Relations Manager Vicky Schiber was available to answer
questions. Alternate Serena Tusneem voted as an alternate.

Maya Perera presented the Election of the Chair, Vice-Chair, and
Secretary. The Commission nominated Allison Bedwell as Chair, Maya
Perera as Vice-Chair, and William Zhang as Secretary.

A motion was made to approve the nomination of Chair, Vice-Chair, and
Secretary.

4. Discussion
A. Adopt-A-Street Date Selection -
Allison Bedwell presented a discussion about selecting dates for
Adopt-A-Street. The commission chose November 18, 2024, and
December 02, 2024, and will decide on two more in the Spring.

B. Pickleball: From Citizen Request to Realization with the Community
Services Leadership -
Director of Community Services David Miller, Deputy Director of
Community Services Fince Espinoza, and Pickleball Manager Eric
Clay led the discussion on how the Southlake Pickleball Complex
came to be in Southlake.

C. Southlake Pickleball Complex Tour and Pickleball Play Time
Pickleball Manager Eric Clay and Deputy Director of Community
Services Fince Espinoza toured the Commission through the
Southlake Pickleball Complex, and the Commission participated in
Pickleball games.

5. Adjournment – Community Relations Manager Vicky Schiber adjourned the
meeting at 5:17 P.M.

SUBJECT: Renewal of the Keep Southlake Beautiful Adopt-A-Street
contract for Shady Oaks Dr.
Action Requested: Renewal of the Keep Southlake Beautiful Adopt-A-Street
contract for Shady Oaks Dr.
Background
Information: The City of Southlake’s Keep Southlake Beautiful Program
manages the City’s Adopt-A-Street Program. Adopt-A-Street
is a free program that allows organizations, businesses,
groups, families, and individuals to adopt and maintain areas
within the Southlake community.
The Southlake Youth Action Commission adopted Shady
Oaks Drive as part of the Adopt-A-Street program in the
summer of 2021 to increase volunteer opportunities for
SYAC members. The first contract expired on December 31,
2022. The Southlake Youth Action Commission voted to
renew the contract during their November 2022 meeting.
The current contract with Adopt-A-Street is set to expire on
December 31, 2024.
If SYAC renews its contract with Adopt-A-Street, the
following commitment is expected:
•Participation in a minimum of three cleanups per
year- Winter, Spring, and Fall. Trash bags, gloves,
and safety vests will be provided to you at no
charge
•Completion of a Quarterly Cleanup Report after
each event- The Quarterly Cleanup Report will
require you to record the number of volunteers,
cumulative volunteer hours, and bags of trash
collected during each cleanup event.
