Call to Order — Meeting was called to order at 4:18 PM by staff liaison Milenka Lopez.

A. Approve the minutes from the October 10, 2022- Motion to approve the
minutes with no corrections was made by Eesha Suri and seconded by Sanvi
Kishinchandani. Motion carried (6-0).
3. Consider
A. Election of Southlake Youth Action Commission Chair —
Assistant to the Director, Milenka Lopez presented Item 3A for
consideration. A motion was made by Allison Bedwell to elect Eesha
Suri as SYAC Chair and seconded by Srishthi Das. Motion carried (6-0).
B. Election of Southlake Youth Action Commission Vice Chair —
Assistant to the Director, Milenka Lopez presented Item 3B for
consideration. Interest was expressed by Srishthi Das and Sanvi
Kishinchandani. The Board voted to elect Srishthi Das as SYAC Vice Chair.
Motion carried (6-0).

consideration. A motion was made by Srishthi Das to elect Allison Bedwell as
SYAC Secretary and seconded by Ryan Brown. Motion carried (6-0).
D. Renewal of Adopt -A -Street Commitment with Community Services
Department -
Assistant to the Director, Milenka Lopez presented Item 3D for
consideration. The Board voted to renew the Adopt -A -Street commitment.
Motion carried (6-0)
4. Discussion
A. Choose Adopt -A -Street Clean Up Date -
Assistant to the Director, Milenka Lopez presented Item 4A for discussion
and was available to answer questions.
B. Budget Activity with Assistant to the City Manager Major Youngblood -
Assistant to the City Manager, Major Youngblood presented the process of
how local government creates a City budget. Assistant to the Director,
Milenka Lopez presented the budget activity and was available to answer
questions.
5. Adjournment — Eesha Suri adjourned the meeting at 5:28 p.m.

Southlake Presents Publicity Pitch
Your task is to create a publicity packet to pitch to the Southlake Arts Council for this 2023
Southlake Presents Art Show. This pitch should include an editorial calendar, sample social
media posts, sample graphics, press release drafts and any other promotional ideas the group
would like to present.
You are acting as the publicity agency for this event. Take your time to do your research and
prepare a fully informed plan.
This packet will provide you with background information and important dates and details for
the 2023 event.
Public Art in Southlake:
Ask any Southlake resident or visitor, and they will tell you that the exquisite pieces of public
art found throughout the City set us apart from other DFW communities. From traditional
bronze sculptures of public safety employees to modern and whimsical designs celebrating the
area's aerial history, our public art collection exemplifies Southlake's commitment to the arts.
In conjunction with the Southlake Arts Council, the City understands that public access to art is
an invaluable service for culturally and economically vibrant communities.
The Southlake Public Arts program began in 2001 with the official adoption of an ordinance
establishing the Public Art Advisory Committee, now the Southlake Arts Council. In 2007, a new
ordinance created a funding mechanism tying the development of public art with Capital
Improvement Projects by dedicating up to 1% of funding for a capital project to the purchase
of art. Since then, Southlake allocates an average of $168,000 a year to acquire new public art
and execute the Public Arts Program. Supported by the Southlake Arts Council, the Hotel
Occupancy Tax, and a Comprehensive Public Arts Master Plan (2018), the Southlake Public Arts
program aims to enhance the cultural life of our community through the arts. The City
commissioned its first public art pieces in 2008. Since then, our collection has expanded to
include over 30 works ranging from sculptures to murals and brass reliefs.
Our Public Arts Program provides our residents with more than just beautiful statues, however.
Over the years, the City created lasting partnerships with local arts nonprofit organizations such
as the APEX Arts League and Arts Council Northeast to expand access to public arts education
and performing arts opportunities in the City. Community Services Agreements with these two
organizations ensure that funding is included in the Public Art Budget annually to bring world -
class arts programming to the Southlake community. Partnering with these organizations brings
incredible free performances to our residents, such as performances by the Fort Worth
Symphony Orchestra and the annual Masterworks Concert Series. The APEX Arts League also
works with the Southlake Public Library to provide art education programs to children. Our

Public Arts Program also aims to beautify indoor spaces and enhance the experience of visiting
Town Hall through free art and history exhibitions in the Town Hall Lobby up to four times a
year.
Whether we're installing a new statue for our public art collection, hosting a free public art
reception to celebrate a featured artist, or bringing in cultural and educational performances
and programs for our residents, expanding interest in the arts is at the heart of Southlake's
Public Arts Program.
Southlake Presents Background information:
The Southlake Arts Council displays public art in the Town Hall lobby multiple times a year to
highlight the value of public arts in our community. The Southlake Presents Art Show and
Competition, however, was the first free public art exhibit exclusively featuring Southlake
resident artists. The brainchild of the Southlake Arts Council, this program highlighted the local
talent of our community while emphasizing the importance of public art to Southlake. The
Southlake Presents Art Show and Competition was a collaborative effort by the Southlake Arts
Council, City Staff, elected officials, and local non-profit organizations like the APEX Arts League.
The competition attracted the submission of 70 original pieces and the Arts Council ultimately
selected 15 unique artists by a blind jury to display their work in the Southlake Town Hall lobby.
In addition to displaying the winning artwork in Town Hall, the Arts Council and APEX Arts
League also hosted a public art reception to bring together all featured artists and their families.
The event united community partners, elected officials, and resident artists to celebrate the
vital role of art in our community.
Southlake artists 18 years and older could submit their original 2D art pieces for display
consideration in the Southlake Town Hall Lobby for the first -ever Southlake Presents Art Show
and Competition.
The application period lasted from January to March 15 and was advertised on the City's social
media, the Experience Southlake website, and www.mysouthlakenews.com. Twenty-four local
artists entered over 70 original pieces into the competition by the time the deadline rolled
around. The Public Arts Program city staff liaisons compiled all application materials into a
presentation for the Art Council members. The March 2022 Arts Council meeting included a
blind jury for the Arts Council members to select 15 unique pieces ranging from oil and
watercolor on canvas, photography, and mixed media, to quilt art to be displayed during the
exhibit.
The Southlake Presents Art Show and Competition consisted of two distinct programs: The

exhibit and the Public Art Reception. The exhibit displayed the chosen pieces in the Town Hall
lobby from April 29, 2022, to July 1, 2022. With various residents and visitors frequenting Town
Hall to access municipal services, the visibility artists receive if chosen to display cannot be
underestimated.
In addition to the exhibit, the City of Southlake, the Southlake Arts Council, and the APEX Arts
League partner to provide a public art reception to kick off every new public art display in the
Town Hall. The Southlake Presents Art Show Reception was on Sunday, May 1, at 5:00 PM in
the Town Hall Lobby.
The budget for the Southlake Presents Art Show and Competition was $2,000, as it is for all our
public art exhibits and receptions. Running the competition was cost effective as city staff used
Smartsheet to host the art submission application and did all its marketing for the event in
house. This included creating our own graphics and writing our own media releases for the
City's Public Art Website, social media pages, and My Southlake News. The $2,000 went
towards paying for food, tablecloths, and center pieces for the public art reception on May 15t
Our partnership with APEX Arts League allows for APEX to provide and handle the wine served
during the reception. Chosen featured artists delivered their pieces ready -to -hang and our
Parks employees skillfully hung up each piece in the Town Hall Lobby.
City staff used existing advertising channels to disseminate information about the competition
across several social media channels, the city's website, and My Southlake News. Staff created
the application for submitting art using Smartsheet. This allowed us to gather crucial
information about the artists and their pieces including the artists' names and contact
information as well as the titles, mediums, and prices of their pieces. Artists attached images of
their art with their applications.
Southlake Presents 2023 Dates:
Tuesday, January 24: Joint meeting with SYAC and Southlake Arts Council
Monday, January 30: Initial information drop target publish date
Monday, February 13: Southlake Presents application opens
Friday, March 24 : Applications submission closing date
Tuesday, March 28: Southlake Arts Council juries submissions
