Guest Speaker: City Council Member John Huffman – Place 5 City Council member John Huffman has accepted SAC’s invitation to attend the August 11, 2015 meeting to meet the Commission members and share his position on issues affecting seniors in Southlake. A copy of Councilmember Huffman’s bio is included in your packet. B. Name for Senior Programs – At the July SAC meeting, Commission members began discussion of naming the senior programs and activities offered thorough the City of Southlake to help identify programs to the public and to create appeal to individuals ages 55-69. Based on the feedback from that discussion, staff recommends the name Heritage Club. C. Program Focus Groups Results – A Program Focus Groups meeting was held Friday, July 17 to get better insight on the wants and needs of three categories of members -- “individuals 55 to 69 years old,” “men” and “Southlake residents.” Staff will provide the results of that discussion at the meeting. DISCUSSION 3A. FITNESS EQUIPMENT Deputy Director Kate Meacham led the discussion about fitness equipment for the center and responded to questions. The Commission reviewed the results of the recent Fitness Equipment Survey that gauged participant’s experience and satisfaction during the demonstration of the Elliptical, Recumbent Bike, and Treadmill machines. This item will be continued at the next meeting. 3B. MEMBER SURVEY RESULTS Senior Services Coordinator Soheila Phelps presented the Senior Center Membership Survey Results. A map showing senior center participation by zip code and proximity to the Southlake Center was reviewed. Currently there are 109 senior center members living within two miles of the Center, 102 members within 2-4 miles of the Center, and 115 members within 4-6 miles of the Center. The Commission was also provided a chart of area cities’ senior center lunch programs. This item will be continued at the next meeting. 3C. THE MARQ: PROGRAMS Senior Advisory Commission members received The Marq: Senior Programs (Phase 1) form to determine interest and likelihood of attendance in various types of programs, including fitness, nutrition/weight management, educational programs, dance, day and multi-day trips, games, lessons, outdoor programs social meals, support groups and computer/technology classes. A lengthy discussion regarding a new proposed day for the Metroport Meals on Wheels program was had. The Commission was split four to four on their agreement of the proposed moved. It was suggested the conversation continue outside of the meeting at a higher level. The discussion of programming will be continued at the next meeting. 4. REPORTS 4A. CITY MANAGER’S OFFICE & COMMUNITY SERVICES Communications & Website Manager Pilar Schank presented the City Manager’s Report and responded to questions. 4B. COMMUNITY SERVICES Deputy Director Kate Meacham provided an update about current and upcoming community events and recreation activities. 4C. Mr. Greene was available to answer questions 4F. SOUTHLAKE SENIOR FUNDING, INC. Southlake Senior Funding, Inc., Secretary Nancy Sporn briefly reported on SSFI activities. Ms. Sporn was available to answer questions. 5. PUBLIC FORUM Chairman Sporn acknowledged the public forum. There being no one wishing to speak, Chairman Sporn proceeded to the next agenda item. 6. GUEST SPEAKER: SHANNON HAMONS, DIRECTOR OF ECONOMIC DEVELOPMENT & TOURISM Director of Economic Development & Tourism Shannon Hamons presented comprehensive information and distributed materials about the latest commercial, corporate and residential developments in Southlake and responded to questions from the Commission. 3B. CHAIR RECAP OF ASSISTANT CITY MANAGER MEETING – Senior Advisory Commission (SAC) Chair Nancy Sporn gave an overview of the SAC officers meeting with Assistant City Manager Ben Thatcher and Director of Community Services Chris Tribble held June 19, 2015. The meeting was held to discuss the philosophy of the City regarding senior center programs as activities transition into The Marq Southlake. There is concern revenue-generating rentals of facility rooms may impact senior program’s space needs. A Memo of Understanding to address issues will be developed and presented for discussion and Senior Advisory Commission recommendation at an upcoming meeting. Staff responded to questions regarding adjustments in programming times and room allocations that may occur at The Marq Southlake that create improved and expanded programming opportunities. At Assistant City Manager Thatcher’s request, SAC member David Baltimore will present information about the Senior Advisory Commission to the Community Engagement Committee at a fall meeting. 3C. FITNESS EQUIPMENT Senior Advisory Commission members discussed fitness equipment for Legends Hall and provided staff feedback on the Precor brand of cardio equipment (Elliptical, Recumbent Bike, and Treadmill) most recently tested. Commission members liked video screens for equipment pieces; preferred the recumbent bike with back support; and felt the Precor Elliptical machine was too difficult to get on/off and to operate. A summary based on Senior Advisory Commission feedback from their demonstrations of the Life Fitness, Precor and Strength equipment pieces, and a proposed equipment package, will be presented for Senior Advisory Commission recommendation at the next meeting. 3D. SENIOR ACTIVITIES CENTER NAME Senior Advisory Commission members discussed naming the senior programs a name with broad appeal to attract individuals ages 55-69. The Commission reviewed a list of random terms and names other cities use for senior programs and were asked to select preferences or dislikes to help determine the style and similar types of words that may be considered for Southlake’s senior programs. Some names offered by Senior Advisory Commission members include: “55+Club of Southlake,” “55+Activities Center…stay active, stay involved, stay connected,” “Southlake Active Life,” “Balanced Living,” and “Southlake Active Social Center.” Suggested names may be forwarded to Senior Services Coordinator Soheila Phelps or presented at the next SAC meeting. Name options based on Commission feedback will be presented at the August meeting. 3E. PROGRAM FOCUS GROUPS OVERVIEW A Program Focus Groups meeting will be held Friday, July 17 to get better insight on the wants and needs of specific member groups that were identified in the member survey as member categories with the need to grow. Results of the focus groups meeting will be shared at a future SAC meeting. 3F. THE MARQ GRAND OPENING EVENT Monday, December 14, 2015, has tentatively been set as the first day for senior programs and activities to be held in Legends Hall at The Marq Southlake. The Commission brainstormed ideas to make the first day in the new facility special and to showcase the wide variety of activities offered. The consensus was to have 4-5 mini, 20-minute classes, in the morning for visitors to rotate from one demonstration to the next, followed by a special lunch and entertainment. An evening dance/open house will be planned for the official grand opening event in January 2016, date to be determined. Save-the-date notices will be sent as soon as dates for the events are confirmed. 4. REPORTS 4A. CITY MANAGER’S OFFICE & COMMUNITY SERVICES Communications & Website Manager Pilar Schank presented the City Manager’s Report highlighting the Stars & Stripes event held July 3, preparations now underway for the FY 2016 City Budget, and the 2015 Citizen Satisfaction Survey, which will be available for public participation around October/November 2015. Commission members asked about various pot holes and traffic issues in the City and were provided information about the online Fix It Form that may be accessed any time to address these and other issues of concern. 4B. COMMUNITY SERVICES Deputy Director Kate Meacham reported on upcoming community events and recreation activities including recognition of National Parks & Recreation Month with events at Bob Jones Nature Center, National Hot Dog Day on June 23, and roller rink event on June 25. New City Council members John Huffman and Shawn McCaskill have accepted invitations to be guest speakers at the Senior Advisory Commission meetings in August and September, respectively. Director Tribble announced a tour of The Marq Southlake will be scheduled for Senior Advisory Commission members in September. 4C. SENIOR SERVICES COORDINATOR Senior Services Coordinator Soheila Phelps reported on summer programs, celebration of National Parks & Recreation month, events and field trips and was available to answer questions. CALL A RIDE SOUTHLAKE CARS representative Eric Phelps presented the CARS monthly participation trip statistics report and highlighted June ridership and CARS activities. Ridership in June was slightly down, which is typical for the summer months. Mr. Phelps was available to answer questions. 4F. SOUTHLAKE SENIOR FUNDING, INC. Southlake Senior Funding, Inc., Secretary Nancy Sporn briefly reported on the recent SSFI meeting and activities, including involvement with the North Texas Student Day, membership, and donations received in memory of James Richardson. Ms. Sporn was available to answer questions. 6. CONSIDER 6A. SENIOR ADVISORY COMMISSION 3RD QUARTER WRITTEN REPORT TO CITY COUNCIL APPROVED A motion was made to accept the 3 rd Quarter Senior Advisory Commission Report as written. Chairman Nancy Sporn administratively tabled the June 9, 2015 minutes to the next meeting to allow the correction to be made to the minutes. The Senior Advisory Commission did not entertain a formal vote. 5. PUBLIC FORUM – This item was not presented. 7. Staff’s recommendation is Heritage Club. If desired by the Commission, an agenda item may be placed on the next meeting agenda for SAC’s formal recommendation of a name for the senior programs to be considered by City Council at a September meeting.
