20 Agenda Item No. 1, Call to Order - Chair, Lori Burr, called the meeting to order at 7:18 p.m.

24 Agenda Item No. 2 A - Librarian's Report

26 1. Librarian's Report -
27 a. Mr. McGeath gave a brief report on the Summer Reading Club (SRC). This year's
28 theme is Sail Away With Books. The kickoff will be held in the Square on June 2 and will
29 include a big tent provided by Community Services, a wagon for photo ops provided by the
30 Southlake Historical Society, face painting, a musician, Jesse and Elizabeth will be telling
31 stories, and Chick-fil-a will provide food. SRC will start on Monday, June 4th. People will be
32 able to enroll online or by completing a 3x5 card at the Library. The information will be entered
33 in an Access database and an Excel spreadsheet so that accurate statistics can be kept. For the
34 first time, we will have an Adult Summer Reading Club. The game is a book Bingo where prizes
35 are awarded every time a reader gets a Bingo. The prizes are office supplies with larger prizes
36 being drawn at the end of the SRC event. The big prize is a free night and breakfast at the
37 Hilton.
38 Mr. Ephraim has been making school visits to the elementary and middle schools to
39 promote the SRC. He has told stories, performed book talks, handed out fliers and generally
40 created quite an aura of anticipation. The summer schedule includes 8 or so performances, about
41 12 Bluebonnet readings, and 6-7 craft activities on Mondays that correspond to the performance
42 on Tuesday. There will be 2 versions of the crafts at each craft event - one for the older children
43 and a more simplified version for the younger children. There are many wonderful reading
44 prizes that have been obtained by Mr. Ephraim, other library staff members and Cindy Campbell,
45 a former employee who is now President of FOSL. Storytime attendance has increased
46 substantially. All the numbers are higher than last year, so we see a growing trend. SRC has

1 been promoted through Storytime presentations. Children can read anything, whether or not it
2 has been checked out from the Library. We feel that we will surpass last year's enrollment of
3 1200 children. Chick-fil-a will partner with us to stuff SRC fliers in the bags of food bought
4 there.

6 b. Mr. McGeath will be involved with the refurbishment and placement of the log cabin
7 donated to the City of Southlake by the Southlake Historical Society. The cabin will be placed in
8 Bicentennial Park, where wild flowers will be planted around it. A contractor will need to be
9 hired to refurbish and rebuild the cabin.

11 c. SABRE virtual branch continues to be a wonderful success. The totes are full being
12 delivered and being retrieved. Ms. Jen Tucker will be giving book talks at the Senior Center on a
13 monthly basis. Her enthusiasm will generate more interest in the Senior Center virtual library
14 and make more of the seniors aware of the service. Fines are not charged for seniors.

16 2. Library Statistics

18 Although the traffic is down, the circulation statistics are up. This means we are doing a
19 better job of satisfying what people want. Ms. Tucker has taken over the ordering of popular and
20 current library materials from Mr. McGeath, who finds his time more constricted by his Deputy
21 Director duties. Mr. McGeath feels that the parking is limiting our traffic, which stays at pretty
22 steady numbers. Reference questions stay about the same as does the traffic. Mr. McGeath
23 discussed other aspects of the statistics. Mr. Ephraim discussed the table we had at Barnes and
24 Noble in the Square Appreciation Day for the Library on Saturday, May 11 (Mother's Day
25 weekend). He had the children doing crafts during his shift in the afternoon. There were not a
26 whole lot of materials that were bought, be we did have a presence. The next event will be in
27 October without the competition of a holiday during the same weekend. Volunteer hours have
28 increased as we are one of the largest users of volunteers in the City.
29 CISD will keep student's art on display all summer. The Bob Jones Nature Center will
30 hold an after hours reception in the Library on June 28th to honor the winners in the Photography
31 Contest. Last year about 100-150 people attended. We are very involved with the Center by
32 helping with crafts and providing story times.

36 Agenda Item No. 3 - Approval of Minutes from April 2007 Library Board Meeting-

38 Mrs. Jeppe made a motion to approve the minutes from the April 2007 meeting and Mrs. Flores
39 seconded it. The motion was unanimously approved.

43 Agenda Item No. 4, Public Forum -

45 Chair Burr opened the public forum at 7:58 p.m. As there were no requests to speak, Chair Burr
46 closed the public forum at 7:59 p.m.

2 Afzenda Item No. 5A Consider - Library Board to continue review of advocacy and grant
3 opportunities -
4 Mr. McGeath requested that the Board members stop by at the Summer Reading Kickoff on June
5 2nd. There will be other opportunities when the Arts Board is started or when the city has
6 concerts. The Board will be invited to the Back to School Bash. Other opportunities will
7 include the Bob Jones photo reception, the grand opening for the log cabin and other concert
8 events. Crystal Schafer, Community Services Coordinator, is constructing a list of events. Mr.
9 McGeath will make it available to the Board members so they may plan attendance at these
10 events and create a presence in the community.

12 One of the Library staff is working on construction a list of grant opportunities. Once that is
13 constructed, then Board members can assist with grant requests.

15 Agenda Item No. 513, Consider - Consider having a June recess and no Library Board meeting -
16
17 A motion was made to have a June recess by Mrs. Jeppe and seconded by Mrs. Koelker. It was
18 unanimously approved.

21 Agenda Item No. 6, Discussion -

23 A. Additional Library Bookdrops Update (auto drop off) - The drop will be placed by the
24 parking garage as soon as the Robb and Stuckey's is complete. The anticipated date of
25 completion is late August to early September.

27 B. Friends of the Southlake Library (FOSL) Update - FOSL will have a meeting on Tuesday,
28 May 29th at 6:30 pm in the Library. There are 9 people that are interested in the Friends group
29 with hope that more citizens will join and become active. Elections will be held at the meeting.
30 Mr. McGeath will attend the meeting to ask them to purchase the book drop and an extra cart. A
31 very large auto drop plus an additional cart will cost about $5,000.00. He will also ask them to
32 purchase replacement shelving for the shelving used to house the FOSL books sold in the daily
33 sales.

35 C. North Texas Regional Library System Update - Mr. McGeath was the co-chair of the Lone
36 Star Task Force which met to determine how funds were to be distributed among libraries.
37 Although this was a contentious issue, the result was deemed equitable and no complaints were
38 issued about the results. The program will be reviewed by the Texas State Library and Archives
39 Commission Board on June 15, 2007.
