Agenda Item No. 2A. Consent: Approval of the minutes from the February 28, 2012
Southlake Arts Council meeting — Please make any corrections to the minutes part
of the motion.
2. Aaenda Item No. 3A. Recommendation on permit for CISD Photoqraphv Exhibit in
Department of Public Safety Headquarters May 1-31, 2012 — The purpose of this
permit is to allow an exhibit in DPS Headquarters facility main lobby area that will
feature about 60 assorted photos taken by CISD students. The exhibit will consist of
two sets of three -panel, freestanding floor display units.
Sponsors of the CISD photo exhibit include Southlake Arts Council and the
Southlake Public Library.
The exhibit will be managed and maintained by City of Southlake Public Library staff.
Deputy Director McGeath is the liaison for the exhibition and will coordinate set up
and tear down of the photos. The Permit for the display meets the provisions of the
Display of Public Arts Policy. Approval of the permit for the CISD photo exhibit will
have no financial impact on City budgets. A copy of the Permit is attached to your
packet memo.
3. Agenda Item No. 4A. Discussion: Potential events and brainstorming a schedule —
During the discussion at the February 28, 2012 Arts Council meeting, the Council
asked to place an item on the next agenda so members could talk about ideas for
possible upcoming events and to work on a schedule. Your packet memo contains a
calendar of events for June -December 2012 that are known at this time to aid in
planning events for the remainder of the year. Please bring all your ideas and
suggestions to the meeting.

Arts Council about non -agenda items. During this proceeding it is important that the
council not deliberate (discuss among yourselves) or take action on any item
brought up at this time. The Arts Councils' options during this topic are 1) to listen; 2)
ask questions and respond to the presenter only; 3) request staff to look into the
issue and report back to the Arts Council; and/or 4) request that the chair put the
item on a future agenda for the Arts Council to discuss or consider.

26 2012 Southlake Arts Council meeting — A correction was made to the minutes to add
27 an "s" to "Art," changing "Winter Art in Town Hall" to "Winter Arts in Town Hall" in
28 references throughout the minutes to correspond with the event program brochure.

33 Agenda Item No. 3A — Consider: Recommendation on permit from Southlake Arts
34 Council, CISD Art Department, City of Southlake Public Library and Art In The
35 Square organization to display CISD Art Exhibit April 26-29, _2012 in Town Hall
36 during the Art In the Square event — Deputy Director McGeath presented the permit
37 request and provided details about the scope of the exhibition. The item was discussed
38 by the Southlake Arts Council. Signage to help patrons locate the art displays was
39 discussed.

Motion carried.
A ends Item No. 4 — Discussion: "Winter Arts in Town Hall" Reception — This item
was discussed and members were praised for their efforts. Feedback was very positive
from the artists and attendees. Approximately 90 people attended the reception.
The Southlake Arts Council discussed publicity issues and discussed utilizing a
schedule of events, press releases, media blasts and web calendars for future events.
Banners/signs and other advertising options may be explored. Southlake Arts Council
will work on a schedule this summer to present to City Council of upcoming events.
A discussion item will be placed on the next agenda regarding possible events for the
remainder of the year and to brainstorm a schedule. A calendar of upcoming local and
regional events may be provided at the next meeting to aid in scheduling future events.
One possible event was to host a photography show.
Agenda Item No. 5 - Public Forum: No one was present to address the Arts Council.
Professional photos of the City's roundabout art pieces, fountains and other art pieces
will be uploaded to the City's website in the near future.
Agenda Item No. 6 — Ad'ournment — A motion was made, seconded and unanimously
approved to adjourn the meeting at 6:35 p.m.

Requested: Southlake Arts Council recommendation to City Council to approve
a permit to allow a CISD photography exhibit in Department of

1- 31, 2012.
Background
Information: The permit requires a recommendation from the Southlake Arts
Council and approval by the City Council.
The exhibit will feature about 60 assorted photos taken by CISD
students. The exhibit will consist of two, 3-panel, freestanding floor
units. Nothing will be attached to the walls of the DPS
Headquarters.
Sponsors of the CISD exhibit include Southlake Public Library,
Southlake Arts Council and CISD photography department.
The exhibit will be managed and maintained by City of Southlake
Library staff. Deputy Director McGeath, liaison for the exhibition,
will coordinate set up and tear down of the photos. The exhibition is
not a fundraising event, but is an opportunity for Southlake youth to
showcase their photography skills and talent. The Permit meets the

Background
Information: At the last meeting, the Arts Council expressed an interest in
formulating a list of possible cultural events they could host or

• Denton County voters will vote at the Trophy Club MUD
building, 100 Municipal Drive, Trophy Club
Early voting begins April 30th and concludes on May 8th.
o The list of early voting locations can be located on the City's
website
o Town Hall will be an early voting location for Tarrant County
residents.
o Trophy Club MUD building will be an early voting location for
Denton County residents.
