SOUTHLAKE LIBRARY BOARD ABSENT: Will Doby and Janet Theaker. STAFF PRESENT: Cynthia Pfledderer, Deputy Director of Library Services, and Andrew Burnett, Library Marketing and Digital Services Coordinator. OTHERS PRESENT: None. 1. CALL TO ORDER Lori Burr called the meeting to order at 6:29 p.m. 2. CONSENT A. APPROVE MINUTES FROM THE REGULAR SOUTHLAKE LIBRARY BOARD MEETING HELD December 11, 2024 APPROVED, with amendments An amendment was noted to the minutes to correct a Board member's name in association with a comment. A motion was made to approve the minutes as amended from the December 11, 2024, Southlake Library Board meeting. Library Communication and Marketing Library Marketing and Digital Services Coordinator, Andrew Burnett, gave a presentation to the Board on his role with the library, and how he focuses communication for the department. Andrew has been with the city for a few years and started his marketing career at the city's Senior Center. The role of the marketing coordinator for the library is relatively new and is responsible for everything to do with communications. This includes the social media, eblasts, website maintenance, and digital marketing needs. His biggest project coming up is the library's new online catalog, which he will work heavily on to maintain the user experience. On of the library's missions is to gather data to better understand patrons and enhance their user experience. Andrew is using his lack of background in libraries as an advantage to better understand how our new customers approach the library, and what the experience is like. He presented some of the videos and posts he's created for social media and My Southlake News, tied to this is the first project he undertook for the library, which was the Sarah Lacy project. This came about as a community requested project to honor the life of a local teen that passed away a few years ago. Andrew shared how impactful that project was for him and has shaped his passion for sharing and communicating the library to the community. He also presented the work he's done with the library's weekly newsletter in working to gain more insight into the minds of our customers with new weekly polls and interactive posts. The Board asked if the library has ever sold merchandise, which it has not., They have created shirts regularly throughout the years for Summer Reading and events for staff. These have not been sold, but have been given to some volunteers, Council members, and the mayor on occasion. New shirts are part of the branding work that Andrew is doing for the library, as well as new library card designs, and a tote bag. The Board also asked about the status of the new discovery layer that is coming to the library catalog. The new launch date for this project is March 101h, as there have been some connection issues that they're trying to resolve with the vendors. The goal is to have it in place by spring break. B. Libby Digital Library Updates City Librarian Pfledderer presented to the Board an update on Libby and how it differs from cloudLibrary. Libby, like cloudLibrary, is also consortium based, but it City of Southlake Values: Integrity ♦ Innovation ♦ Accountability ♦ Commitment to Excellence ♦ Teamwork Minutes of the January 22, 2025, Southlake Library Board Meeting Page 3 of 5 is a much smaller consortium, at only about 30 libraries. It is currently our only Kindle friendly option, which is one of the reasons that the library keeps two digital eBook options. The issue facing Libby currently is the long wait times for the holds. Most of the libraries in the Libby consortium are smaller and are only paying around $3,000-$9,000 per year into it, with half of that amount going to the vendor, the other to actual content. Our community demand is outstripping the resources. The consortium that we're a part of North Texas Libraries on the Go, is putting a panel together to help resolve this issue. The Board asked if the Aspen Discovery Layer will drive up demand and traffic to Libby. It could drive up traffic, and with the cost per book ranging so high right now, it is not possible to have a digital library that compares to our physical library. 5. LIBRARIAN'S REPORT City Librarian Pfledderer presented to the Board the statistics for December, as well as the first quarter of the fiscal year. Print circulation is down 3% for the month, and 1 % for the first quarter. Digital circulation is up 12%, and ahead 11 % for the first quarter, with total circulation coming out 1 % ahead. The other digital resources are down 76% for the month, but we have fewer digital resources this year compared to last year. Library cards issued are down 2% for the year, but we did see an 11 % increase for December. Library traffic is up 8% for the year, so we are seeing more customers in the library. While cloudLibrary remains the biggest draw for digital libraries, at a 7% increase for the month, and a 6% increase for the year, Libby did well at an increase of 51 % for the month, and a 64% increase for the first quarter, over the previous year. NewsStand is down 16% for the year but is up 35% for the month. Librarians are hopeful this will continue to rise now that there is a direct link to it on the website. There has been a zero percent increase for the digital library services for the year. Computer usage is down 12% for the quarter, but the study rooms are up 12% for the year. The library will likely request a budget request for new tables for the two study rooms and the meeting room, as the current tables are 25 years old. Adult programming is flat for the year. Youth programming presents somewhat of a conundrum that the librarians are watching. Usually, picture books and early readers have some of the highest circulation numbers, but both are down, with early readers down 25%. This collection was recently moved to give more space to the youth collection. Youth programming is down, but youth materials are circulating at an all-time high. ILL requests are trending flat, but the library has started to purchase more of the titles being requested rather than completing as an ILL, as it often works out as more cost effective, and the titles often fit the City of Southlake Values: Integrity ♦ Innovation ♦ Accountability ♦ Commitment to Excellence ♦ Teamwork Minutes of the January 22, 2025, Southlake Library Board Meeting Page 4 of 5 collection model of the Library. Lauren asked if we share this data with other libraries, and if this data represents a community shift, or a society shift. Librarian Pfledderer let her know that there is a Library Administrator Group that communicates with each other, but not to this detail. 6. LIBRARY FOUNDATION OF SOUTHLAKE UPDATE Board member Burr discussed the history and purpose of the Foundation as a follow-up to Board member Nelson's question at the last meeting. In 2021, Lori approached the Friends of the Southlake Library about donating money to help fund a shortfall in the Summer Reading funding. The Friends did not end up accepting the donation for that program, but said they'd earmark it for the next season. Wanting to be more immediately impactful for the library, Lori and her husband, David Burr, approached the Friends about creating a second arm of the group to do more fundraising but were turned down. They then applied to be their own Foundation, and were approved in the summer of 2022, and got to work. It is a 501(c)3, and their mission statement is: We're committed to the support and success of the Southlake Public Library through advocacy, fundraising, and engagement that delights and benefits the community. They want to bring attention to the library and to raise funds for programming. They just wrapped up their Book Blizzard Bingo on January 811 and there were 242 kids that participated, and they read about 4,500 minutes for the program. They offered 45 prizes, and there were 44 winners. They were pleased to see that the second most popular prize was Librarian for the Day. The foundation does meet regularly, and Children's Librarian Wells will attend the next meeting to present her wish list for this coming Summer Reading season. Board member Nelson followed up regarding whether the Foundation fundraises for the construction of a new library. Pfledderer said that that is not really their role right now, as that project is not yet approved by City Council. The Council has approached the Foundation about that endeavor though should it proceed. Lori and Cynthia also elaborated on how that fundraising could look. Nelson did offer her support with fundraising efforts, as her professional experience as a fundraising attorney, and encouraged them to dream bigger with what they would like to raise. Board member Green asked when City Council will meet again to discuss capital projects. Pfledderer let her know that there will be a City Council Winter Workshop on January 30'h 7. NEW BUSINESS Board member Nelson asked if could be communicated to the community how the holds in the digital libraries work, and how the overuse and/or checkout, can tie up the monthly allowance for pay -per -use items like the audiobooks, or popular e-books. Librarian Pfledderer advised that if communicating to the digital library users, the approach is to encourage them to reach out to the library of City of Southlake Values: Integrity ♦ Innovation ♦ Accountability ♦ Commitment to Excellence ♦ Teamwork Minutes of the January 22, 2025, Southlake Library Board Meeting Page 5 of 5 E� a they are having trouble getting a title. The library tries to work with customers to help them get the titles they really need or desire. PUBLIC FORUM The public forum was opened at 7:50 p.m., and being no public present, it was closed at 7:50 p.m. ADJOURNMENT The next meeting is scheduled for February 26th, 2025, at 6:30 p.m. at the Parkwood Training Center.
