SOUTHLAKE LIBRARY BOARD ABSENT: None. STAFF PRESENT: Cynthia Pfledderer, Deputy Director of Library Services OTHERS PRESENT: None. 1. CALL TO ORDER Will Doby called the meeting to order at 6:30 p.m. 2. CONSIDER A. SOUTHLAKE LIBRARY BOARD TO ELECT VICE -CHAIR FOR THE 2024 FY NATAN TON -THAT The Southlake Library Board nominated Natan Ton -that to serve as Vice Chair for the 2024 Fiscal Year. Motion: Burr Second: Doby Ayes: Taggart, and Ton -that Nays: None Abstain: None IJ[.ii��1■ Motion Carried. DISCUSSION A. Appointments and Meeting Dates City Council met in October but did not fill the three open positions currently available on the Library Board. City Librarian Pfledderer notes other boards and commissions in the City were also left with vacancies. The board will retain official status of being a seven -member board, so all four current members must attend a meeting to reach quorum. As per new ordinance, a regular meeting schedule must be established, and is the responsibility of the Board to set. Though disappointed with no longer meeting monthly, Board agrees to a selected schedule. The question of virtual attendance was put forth, but City Librarian noted that that might violate Open Meetings Law, and so would likely not be approved by Council. The following dates were agreed upon: December 13th, March 20th, May 8th, and August 14th B. Quarter One Projects and Programs Four adult programs are coming up in next few months including a new cooking class with Chef Sandra, book club which will discuss Lessons in Chemistry, ornament painting, a British Tea program from a retired professor, and then a possible theater screening of Killers of the Flower Moon for Native American Heritage Month. For youth age, will have a Hunt the Gingerbread Man scavenger hunt, and regularly scheduled story times. There will also be kits for youth, as well as adults including a Diwali kit, bouncy ball kit, embroidery kit for adults, and the Funopoly challenge hosted by the Library Foundation. Coming in December will be a new Harry Potter exhibit in the library from the National Library of Medicine that details the use of Renaissance history, astrology, alchemy, and natural philosophy in the inspiration for Rowling's stories. LIBRARIAN'S REPORT In Fiscal Year 2023, the library circulated 355,017 print materials, a 9% increase over 2022. Digital libraries circulated 81,000 items, and all digital library services is 143,666 items. Total circulation for print and digital libraries saw a 6% increase at 435,961 items. Saw a 22% increase in attendance for adult programs, children's, not including story times, saw a 14% increase. Story time saw 18% increase. This was an overall increase of 16% for programming for the year, with just under 44,000 attending programs. Total traffic saw 112,000 people, a 19% increase over last year. Traffic to digital services saw 6% decrease, which is often seen with increase in foot traffic. Strongest performers were print services, youth programs, adult programs, and cloudLibrary. Return on investment for the community for this year was approximately $9 million in savings, with an investment of just over $1 million into the library this year. As of this year, videos comprise of 8% of total circulation. These will eventually be fazed out of the library collection. 5. LIBRARY FOUNDATION OF SOUTHLAKE NEWS Lori Burr presented upcoming winter reading challenge prizes for Funopoly. Goa to have 5-10 prizes per week, with 10 golden ticket prizes for the end of the challenge. Weekly prizes will consist of gifts valued between $10-15, and golden ticket prizes valuing between $50-100 in experiences. These experiences to include lunch with a police officer, librarian for a day, and a workshop with a published author to help the winner with their writing and potential publishing. NEW BUSINESS Lori Burr inquired on the status of board and commissions ordinance changes that are being discussed by City Council. Status of those ordinance decisions unknown at time of Board meeting. 7. PUBLIC FORUM The public forum opened at 7:07 p.m. asking anyone wishing to speak to come forward. ADJOURNMENT The next meeting will be scheduled for December 13, 2023. The meeting was adjourned at 7:07 p.m, with Will Doby moved to adjourn, and Natan seconded the motion. Meeting was reopened immediately after adjournment to discuss agenda item concerning meeting dates for rest of Fiscal Year 24. The following dates were put forth to adopt: December 13th, March 201h, May 81h, August 14th, and October 23'd, all to be held at 6 p.m. on Wednesday dates.
