Action Requested: Background Information: Approve contract award for Southlake Town Square Street Sweeping, Parking Garage Services, Power Washing, and Porter Services with Southlake Leasing & Management Inc., dba Regent Services in an amount not to exceed 135,000. Southlake Town Square requires daily street sweeping, emptying 136 public trash cans, public parking garages East & West trash pickup, routine parking lot sweeping, garage stairwell semi-monthly power washing as well as special events porter services. On November 17, 2023, sealed proposals were received from seven vendors for Southlake contract RFP231OB200KA230020 Town Square Street Sweeping, Garage Services, Power Washing & Porter Services. Advertisements of the Request for Proposals (RFP) were posted online and in the newspaper. The RFP review and selection panel consisted of three City employees that reviewed all seven proposals. The best value selection criteria included customer service, availability, proximity to Southlake, and pricing with weighted percentages are shown in the table below: Evaluation Criteria Weight Vendor Category Pricing 20% Vendor Ability 35% Vendor Experience 40% Vendor Past Experience with City 5% Total 100 % Page 1 of 2 Item 4D Based on the scoring matrix, Regent Services were selected as the "Best Value" to the City. Financial Considerations: Funding for Street Sweeping contract services are budgeted in the annual Public Works Facilities Services Operating Budget. The total purchase amount during this contract period will not exceed $135,000.00 for Core Regent Services.
