SOUTHLAKE LIBRARY BOARD ABSENT: Guy Midkiff, Tracy Patton, and Lori Burr STAFF PRESENT: Cynthia Pfledderer, Deputy Director of Library Services, Andrew Burnett, Library Marketing and Digital Services Coordinator OTHERS PRESENT: 1. CALL TO ORDER Will Doby called the meeting to order at 6:45 p.m. 2. CONSENT A. APPROVE MINUTES FROM THE REGULAR SOUTHLAKE LIBRARY BOARD MEETING HELD July 26, 2023 APPROVED A motion was made to approve the minutes from the July 26, 2023, Southlake Library Board meeting. New Staff City Librarian Cynthia Pfledderer presented to the Board the three new full-time Library members who recently started. Laura Byars has been promoted to Technical Services Librarian with the retirement of Maria Cameron. Andrew Burnett has been hired as the new Marketing Coordinator in the place of Alexis Garcia de la Cruz. Andrew was most recently the marketing intern for Champions Club. Rebecca Conkle is returning to the library as the Circulation Coordinator. She began her library career here in 2014. Anna Peterson is returning to the library as a full time Library Technician. B. Library Office Space Update Library administrative offices currently reside on the second floor of Town Hall. The current arrangement requires the sharing of small offices, which also act as the receiving, processing, storage, and program prep space for the librarians. City Council has approved a proposition to lease office space across the street above the Starbucks, and negotiations are underway with Kite Management Company for updates to the space. If negotiations for the move are successful, Library administration will move offices to the new location across the street but will retain the second floor Town Hall offices for receiving, processing, storage, and program prep. Overflow of unprocessed FOSL materials will move upstairs and story time materials will move into a storage room in the mail room, allowing for less densely crowded workflow for the library workroom. Having library administration and the librarians officed outside of Town Hall will present workflow challenges, necessitating the need for two more of the library staff members to become notaries, as well as creative scheduling. If there is no forward movement with a new library by FY26, the City Librarian will propose to contract with a library architect to reconsider the existing space for enhancements. C. Summer Reading Summary Summer program overall participation was up 17%, and programs themselves up 20%. The library will make an announcement for next year's summer reading when the winners have been selected at the end of the program. Marketing and Digital Services Coordinator Andrew Burnett presented a video wrap-up presentation of the Summer Reading program with highlights from the season, including a special project the Kindness Club undertook to make dog toys for the animal shelter. Total circulation is at 46,209, which is a slight decrease from July last year, though at 7% increase for the year overall. We're at 21 % increase overall for programming for all ages, an 8% increase in traffic to the library, and a 29% increase to digital services. Strongest performers were youth programs, print materials, cloudLibrary, and Libby. LIBRARY FOUNDATION OF SOUTHLAKE NEWS Library Board Member Lori Burr not in attendance, but City Librarian Pfledderer shared that the Foundation has met with Southlake Librarians to work on Winter Challenge for the winter break. This challenge differentiates from Summer Program as it presents as a game format. PUBLIC FORUM The public forum opened at 7:31 p.m. asking anyone wishing to speak to come forward. There being no public comments/attendance, the forum was closed at 7:31 p.m. 8. ADJOURNMENT The next meeting will be scheduled for September 27, 2023.
