CALL TO ORDER Will Doby called the meeting to order at 6:32 p.m. 2. CONSENT A. APPROVE MINUTES FROM THE REGULAR SOUTHLAKE LIBRARY BOARD MEETING HELD May 24, 2023 APPROVED A motion was made to approve the minutes from the May 24, 2023, Southlake Library Board meeting. Proposed Library Budget 2024 City Librarian Cynthia Pfledderer presented the proposed library budget for FY24. Focus will be on facility and workflow enhancements, which will include the replacement of all armchairs in the library. The same company will be used, but the fabric will be replaced with commercial grade material. This will be a $60,000 investment. Based on feedback from staff and user surveys, one of the family restrooms in the library will be converted to a kitchen space that will have instant hot water installed. This to improve workflow of coffee service, allow for plumbed coffee maker installation, and easier carpet cleaning. That project will come from the building's upkeep budget, rather than the library's and will be a $24,000 project. B. Library Technology Plan City Librarian Pfledderer discussed upcoming Library Technology Plan in coordination with City IT. This includes developing a long-term plan for system integration to modernize the library. The goal of this is to make catalog one -stop shop for online library services. Current integrated library system will be analyzed to see if it can be adapted into a more integrated system, but more systems will be evaluated. C. City Tourism Report City Librarian Pfledderer presented to the Board an event planned across multiple City departments including the library, Community Services, Tourism, and Marketing. This event will be for the April 8th total solar eclipse and is expected to be a big draw for tourism in the area due to path of totality being directly over Dallas and Fort Worth. D. Leadership Development There have been recent changes in library staffing which led to three full-time position vacancies. This included the retirement of Adult Services Librarian Maria Cameron. Current Library staff member Laura Byers has been promoted to fill this vacancy to become our Technical Services Librarian. Andrew Burnett, a recent intern at the Champions Club, has been hired as the marketing coordinator. The other two vacancies are being filled by two former Southlake Library employees Rebecca Conkle, the new Circulation Coordinator, and Anna Peterson, the new Library Technician. This leads to the necessity to develop our leadership team. A good deal of time will be devoted to bringing them up to the leadership level over the next year. Money In total, upgrade of library interiors and workflow enhancements will total at $84,000. All City departments were given a 2% inflation budget adjustment. This allowed for $2,000 increase for books and materials budget, and the supplies budget was bolstered by $2,270. Also, a request from IT budget to acquire new technical systems and equipment, including marketing equipment for the Library Marketing Coordinator. Previous staff used their own devices and equipment. Also bringing on system called Marcive to clean up cataloging records. Staff changes were requested as well, but those requests were denied across all City departments. The amended FY23 budget is $1,096,363, and the proposed FY24 budget is $1,180,440. The proposed budget has an overall increase of 7.6% from last year. A lot of that cost is for staff changes like benefits, rising insurance cost, and possible raises. C L-1X11:7/_1.I&I04061:1111 City Librarian Pfledderer gave performance update for Summer Reading 2023. Total of 2,320 participants over last years 1,922, an increase of 21 %. Total circulation was 37,000 items, and print circulation is up 12% for the year. Library cards down 7% for June, but there's a 4% increase for the year. Due to lack of use, Ancestry.com will not be renewed. Biblio+ is doing well with and there is a addition of Kanopy, an app geared to kids content. Storytime participation is up 34% for the year. Strongest performers for the summer have been youth programs, print materials and cloudLibrary. : ,11XiXaM01111a17-11%111011111�4�E.9 The Foundation boosted Summer Reading involvement by adding in golden ticket drawings and special prizes. No official numbers yet, but the Youth Librarian reports great participation. Lori Burr and Youth Librarian Stacy Wells to meet in the next week to discuss brand new Winter Reading Challenge. 6. NEW BUSINESS General Carey has been invited to do November 11th in which he will pin lapel invited to participate if they can. PUBLIC FORUM a book signing for Veterans Day on pins on Vietnam Veteran's. There being no public comments/attendance, the forum was closed at 7:34 p.m. 8. ADJOURNMENT The next meeting will be scheduled for August 23, 2023.
