Action Requested: Authorize expenditures with Smith Pump Company Inc. for pump parts and repair services in an amount not to exceed $131,787. Background Information: The purpose of this item is to seek City Council approval to Authorize expenditures with Smith Pump Company Inc. for pump parts and repair services in an amount not to exceed $131,787. As part of the Public Works Operations Water Division’s preventative maintenance program, the Water Distribution System high service pumps (HSPs), which feed the City’s low- and high-pressure planes, require inspection and rebuilding approximately every ten years to ensure optimum efficiency and reliable operations. As part of its annual operating budget, the Water Division selected PS#1, high pressure plane pump 7 to be inspected and rebuilt for routine maintenance. In September 2022, staff noticed extreme wear on low pressure plane pump, HSP 3 at PS2 and at the same time noted excessive leakage on HSP 2 seals around the drive shaft of the pump. This leaves one low-pressure plane pump at TW King operating without issues. Failure to repair these low and high-pressure plane pumps makes the city vulnerable to not being able to meet peak demand during the summer months. Financial Considerations: The City’s purchasing policy for this service is met through an ILA with the City of Fort Worth. On April 3, 2022, the City of Fort Worth awarded its contract for pump parts and repair services to Smith Pump Company Inc., contract no. 18-0087. This contract is in its first renewal year with a second renewal year possible. Below are repair services to be performed by Smith Pump in FY 2023: Item 4F Page 2 of 2 Pump Parts & Repair Services Cost PS#1 – Pump 7 inspection and rebuild $ 52,456 PS#2 – Pump 3 removal and inspection $ 71,656 PS#2 – Pump 2 Seal Repair $7,675 Total expected expenditures $ 131,787 Funding for these services is available in the Utility Fund via the Water Operating budget.
