Details of Event
o Event will start at 11AM and go until 3PM
▪ Store hours 10AM to 7PM
o Set up for the event will take place starting around 8AM. Loading in the grills and
setting up the tents. – At this time is when the spots will be coned off and blocked.
o Attendance – Looking between 100 and 200 – Coming and going through out the
4-hour time frame.
▪ We do not expect to see that many at one time during the event.
o Take over 8 parking spots. Four to the left and four to the right of our front door.
▪ Spots will be blocked off at 8AM to start set up and reopened at 5PM
▪ Space will be coned off and marked so that people are not hanging outside
the fire line.
▪ Someone will be outside watching traffic, making sure cars don’t just stop
and look.
▪ Parking for the event attendees
▪ Parking spots closets/facing Southlake Blvd. Looks to be about 25
to 30 spots.
▪ Parking lot to the left of our building offers ups another 25 to 30
spots
▪ Also parking spots in the rear of our building facing Khols.
▪ No Cars will be allowed to park within 10 feet fo the grills.
o Event has been discussed with Angel from the Southlake Fire Department
▪ Discussed placement of tents, safety of grill use, ADA regulations, and
safety of our guests.
▪ Two fire extinguishers will be located in the grill area.
▪ Five-Pound 2A-10BC - Extinguishers
o Per ADA rules, the handicap parking spots will be open, and ramp will have
accessed.
▪ Also, we will not have anything 44” from the curb to allow for wheelchairs
(Per Fire Department).
▪ Cornhole will be more than 44” away from curb.
o Five tents for our vendors will be in 5 of the parking spots. The tents will be
located at the front most part of the parking spot.
▪ Tents will be 10 X 10’s.
▪ Each spot will have two grills from our specific vendor.
▪ Per the Fire Department we will have two fire extinguishers outside, near
the grills.
▪ Each tent will have a trash can for disposal of plates and waste.
o Five Vendors will be demonstrating the grill abilities and will be serving food to
our visitors.
▪ Vendors are: Twin Eagles, Kamado Joe,
▪ We have a Certified Food Handlers Certificate.
▪ Full compliance of Food Safety and city regulations.
▪ Clean Water stations will be set up in tent area for cleaning not drinking.
o Inside of our store, we will be inviting local businesses to come in and set up a
table. This way we can get more involvement from the community and build
great relationships.
o We are requesting a banner to go above the door for “GRAND OPENING” and
asking for signs to be put at the entrance of the parking lot. This will be in on our
SUP application. (We don’t know if we are going to use them but requesting just
in case.)
o Signage – Two 24” x 18” custom made signs that have our Premier Grilling Logo,
and the words Grand Opening.
▪ These signs will be located at the two entrances to the shopping center.
• Chipotle and Men’s Warehouse Manager will be notified of event and invited to offer
deals or raffle items.
• July 2020, October 2020, February 2021 and April 2021 these are tentative.
o These dates will be one day events, hosted on a Saturday. Times of event will be
11AM to 3PM.
• We are submitting this form for a one-year term, and host four events in 2020.
