CALL TO ORDER - Curtis Green 2. CONSIDER A. Selection of member to represent the Board on the Carillon Parc Steering Committee. A motion was made to elect Southlake Library Board Member Lori Burr as representative on the Carillon Parc Steering Committee. APPROVAL OF THE MINUTES FROM THE AUGUST 22, 2018 SOUTHLAKE LIBRARY BOARD MEETING. APPROVED A motion was made to approve the minutes from the January 24, 2018 Southlake ' Library Board meeting. REPORT 4A. LIRARIAN'S REPORT City Librarian Pfledderer outlined the statistics from the last month. July was a record breaking month with over 21,000 patrons visiting the Library. City Librarian Pfledderer attributes some of the increase in foot traffic to the amount of in -Library activities offered throughout July. August 2018 print circulation was down 8% from August 2017 but digital circulation was up 18%. August also saw a 12% increase in foot traffic from August 2017. Overall the annual circulation for print was down 2% and down 11% in overall (print, digital, and databases), however, there was a change in database reporting from last year, which significantly impacted the circulation total. City Librarian Pfledderer wanted to focus on the three major collections: print circulation, digital library, and Flipster. These three collections have seen a 3% increase overall in circulation in 2018. Programs are down 25% from last year because the Summer Reading Program was shortened from ten weeks to six weeks. Summer Reading surveys showed that patrons did not like the shortened program despite statistics showing a drop in program attendance toward the end of the program in 2017. Fiscal year 2019 Summer Reading will have duration of eight weeks, though programming will continue after the official program end. Overall programs saw a decline this summer due to a lack of program space during to local elections and the shortened Summer Reading Program. 5. DISCUSSION 5A. 2019 LIBRARY WORK PLAN City Librarian Pfledderer gave an overview of the 2019 Library Work Plan, outlining what the Library staff will be focusing on over the upcoming year. The Carillon Parc project will be a big part of this year's work plan. City Librarian Pfledderer is interested in applying for a grant to pay for a vehicle for the Library to assist with satellite book drops and remote programming. Library Board Member Green asked some question about the possibility of using this vehicle for private events and as a means of revenue, City Librarian Pfledderer explained that this was unlikely as the accreditation of the Library is contingent on programs being offered for free. Another upcoming task is upgrading the Polaris program, which can offer patrons easier catalog access from their mobile devices. The Library is planning more arts programs in City of Southlake Values: Integrity ♦ Innovation ♦ Accountability ♦ Commitment to Excellence ♦ Teamwork Minutes of the September 26, 2018 Southlake Library Board Meeting Page 3 of 4 partnership with APEX and has been given $5,000 through Public Arts to help promote these programs. The Library Board Members asked if the Library has a foundation to which people could donate money. City Librarian Pfledderer told the members the Library does not but community members can start a Library Foundation if there is interest. City Librarian Pfledderer explained the role of APEX and the Arts Council in relation to the potential preforming arts center in the Carillon Parc project. Library Board Members discussed interest in creating a foundation to assist the Library in fundraising. City Librarian Pfledderer listed the upcoming programs that the Library is involved with such as Monster Mash with Community Services and Home for the Holidays. City Librarian Pfledderer told the Board about the upcoming changes to all city websites. 51B. NEW STAFF MEMBERS Interviews are ongoing for a Clerk II position, City Librarian Pfledderer sent out a project to 10 candidates to complete via Spark Hire, a video based interview platform. The candidates had to develop four programs for Southlake residents and create a marketing piece for one program to be presented in video form. The top candidates from this process will be given interviews. City Librarian Pfledderer let Board Members know that the Library has another Clerk I position available as well. 6. NEW BUSINESS The Library Board Members discussed their ideas for creating a Library foundation to help raise funds for programming and support the Library in a more hands on way. The Board discussed cancelling the regularly scheduled November and December Board meetings and instead having one meeting on December 5, 2018. 7.
