WS Item 4 - CEC Update Community Engagement Committee Annual Update November 7, 2017 Good evening Mayor and City Council, I am Ben Siebach, Chair of the Community Engagement Committee. It is my pleasure to bring you an update on the Community Engagement Committee’s activities for FY 2017. 1 FY 2017 Committee Members Chair Ben Siebach Vice Chair Sherry Berman Secretary David Alexander Sandra Harrison, Place 2 Randy Robbins, Place 3 Aaron Camele, Place 6 Vacant, Place 7 The FY 2017 committee included: myself, Sherry Berman as Vice Chair, David Alexander as Secretary, Sandra Harrison, Randy Robbins, Aaron Camele and Place 7 was vacant for the majority of the year. *click* 2 FY 2018 Committee Members Chair Ben Siebach Vice Chair Sherry Berman Secretary David Alexander Sandra Harrison, Place 2 Vikram Jangam, Place 3 Aaron Camele, Place 6 Angela Weisgarber , Place 7 This group was a great group to work with and I look forward to next year’s additions of Vikram Jangam in Place 3 and Angela Weisgarber in Place 7. 3 As part of the CEC’s enabling ordinance, the committee submits a report to council outlining: The previous year accomplishments, Providing comments on the City’s communication plan, Recommendations for the advancement of community engagement, And an annual review of the SPIN Neighborhood maps Included in your packet is a copy of this annual report, the CEC’s memo with comments on the communication plan, and the City’s communication plan for FY 2018. This evening I will give you a overview of our accomplishments this year. 4 Committee Meetings 7 CEC Meetings Served as Bicycle Safety Committee Developed community engagement questions The committee is required by ordinance to meet at least once per quarter. The committee met 7 times throughout the year to evaluate and improve community engagement in Southlake. During these meetings, the committee has: Served a focus group for new engagement initiatives, including City’s Financial Transparency tool and providing feedback on Local Business Report communication. The CEC also served as the Bicycle Safety Committee for an amendment to the Mobility Master Plan Crafted community engagement survey questions to measure engagement levels. These questions are included in the extended version of the 2017 Citizen Satisfaction Survey. These questions will help us better understand the current levels of engagement in the community and where we should focus our efforts. Additionally, the Committee has: Established the use of CEC members as social media ambassadors to help support the City’s key communication messaging, Learned more about the City of Southlake’s current use of technology and social media for engagement purposes, Continued improvements to the SPIN Town Hall Forums, And developed recommendations for improving community engagement in coming years. 5 SPIN Meetings 16 SPIN Town Hall Forums 2 Special SPIN Town Hall Forums One of the CEC’s primary responsibilities is to host SPIN Town Hall Forums to engage residents in upcoming development activities. This year the CEC hosted 16 forums, with a total of 35 agenda items throughout the year. A total of 247 residents attended SPIN in person and a total of 1,216 viewed the meeting on the City’s video on demand. Additionally, the CEC hosted two Special Town Hall Forums– a Safety Forum and the City Council Candidate Open House—with 80 in attendance and 425 views online. One of the requirements in the enabling ordinance is to evaluate the SPIN map on an annual basis, and we are recommending no changes at this time. 6 FY 2018 Activities Push Information Gather Information Technology & Research The CEC’s activities for the FY 2018 fiscal year fall into three categories: Pushing information Gathering information And Technology and Research Improvements Pushing information The CEC will continue to support City communication by serving as social media ambassadors for the City of Southlake Make recommendations for increased Board and Commission involvement in citizen engagement Gather Information Served as focus group for 2017 Citizen Survey functionality Work with City Departments on potential engagement topics and to identify areas where support is needed Study and assess results of the Citizen Engagement Survey to enhance engagement plan and provide recommendations to City Council Establish and track engagement metrics every six months to determine reach to the community Technology Research & Improvement Become familiar with costs and benefits associated with existing and potential engagement tools Explore real time interaction with remote VOD viewers, including question and answer Identify ways to improve communication with residents/businesses during Town Hall Forums and throughout the development process 7 Questions?
