Item 4E Authorize expenditures with Regent Services (Southlake Leasing) for janitorial services Item 4E Good evening Honorable Mayor and members of the City Council. This is Cristina McMurray, Deputy Director for Public Works, and I will be presenting Item 4E for your consideration. 1 Requested Action Authorize expenditures with Regent Services (Southlake Leasing) for janitorial services in City facilities in FY 2017 in an amount not to exceed $200,000 Staff recommends that City Council: Authorize expenditures with Regent Services (Southlake Leasing) for janitorial services in City facilities in FY 2017 in an amount not to exceed $200,000. 2 Facilities Division Maintain buildings clean and orderly General cleaning Restroom sanitation Floor maintenance Carpet cleaning Kitchen cleaning Window washing and glass cleaning The Public Works Facilities Division is responsible for the maintenance of all buildings owned and operated by the City of Southlake. This responsibility includes managing the janitorial services contract for all City facilities to keep them clean and orderly. Services provided by Regent Services include the following: general cleaning, restroom sanitation, floor maintenance, carpet cleaning, kitchen cleaning, window washing, and glass cleaning in all City buildings. A detailed break down of all janitorial specifications has been provided in the Council Memo Attachment C for your review. 3 FY 2016 - Janitorial Services included The Marq Due to volume of events with food and beverage Cost is increasing by 3.77% FY 2017 Total Cost $198,292.20 Facilities Division In FY 2016, the City’s janitorial contract was expanded to include janitorial services at The Marq. The original pricing was based on the cleaning services offered at the other City buildings including office spaces; however, due to the types of activities and events at The Marq with a high volume of food and beverage, the FY 2017 proposal is increasing by an overall 3.77%. The cost to service all other Facilities is not increasing. This brings the total cost for providing janitorial services at City buildings to $198,292.20 for FY 2017. 4 Regent has provided janitorial services to Southlake since FY 2011 Southlake partnered with Grapevine through ILA Both Cities are satisfied with service level Cost avoidance of RFP Facilities Division Regent Services has provided janitorial services for all City facilities since FY 2011 through an inter-local agreement with the City of Grapevine. In preparation for FY17 execution, Southlake partnered with the City of Grapevine to award an additional year to Regent’s base contract. Grapevine determined that Regent was the best value for this service since Regent has provided satisfactory service to both Cities and has not asked for a contract price increase since 2014. Furthermore, renewing the contract has additional labor savings in the cost avoidance for the development and review of a request for proposals as well as chairing a selection committee. 5 City of Southlake Strategy Map The City of Southlake provides municipal services that support the highest quality of life for our residents, businesses, and visitors.
