Item 4D SPDC Matching Funds Request from Southlake Cricket Club Item 4D Honorable Mayor and members of the City Council, this is Item 4D which is a request for Southlake Parks Development Corporation Matching Funds from the Southlake Cricket Club 1 Requested Action City Council approval of the SPDC Matching Funds request in the amount of $1,743 from Southlake Cricket Club for a cricket pitch at Bob Jones Park With this item, staff is seeking City Council approval of the SPDC Matching Funds request in the amount of $1,743 from Southlake Cricket Club for construction of a cricket pitch at Bob Jones Park. 2 SPDC Matching Funds in the amount of $6,916 previously approved Original estimated cost of cricket pitch was $13,832 Concrete base Synthetic Turf Request for Bid released in 2015; no responses received Background Proposed location of pitch Southlake Cricket Club previously requested SPDC matching funds of $6,916 in September 2014 for the pitch, which SPDC and City Council approved. The total cost for the cricket pitch was originally estimated at $13,832 and included construction of a concrete base and synthetic turf to match existing grade. A Request for Bid to build the cricket pitch was released in early 2015, but no responses were received. 3 Two quotes received totaling $17,318 Manning Concrete - $7,328 Southwest Greens Turf Company - $9,990 Southlake Cricket Club will contribute 50% of additional construction costs which total $3,486 Staff recommends approval Background Since that time, the best offer staff has received is two quotes in the total amount of $17,318 to complete the work. A quote was received from Manning Concrete for construction of the concrete base in the amount of $7,328, and a quote was received from Southwest Greens Turf Company for the synthetic turf in the amount of $9,990. Southlake Cricket Club has agreed to contribute 50% ($1,743) of the additional construction costs which total $3,486. Staff has reviewed the request from Southlake Cricket Club and recommends approval based on the request meeting the criteria designated within the SPDC Matching Funds Policy. A copy of the SPDC Matching Funds application was included in the packet. 4 Available SPDC Matching Funds $163,318 Southlake Cricket Club Request $ 1,743 Balance $161,575 Approval assists with off-setting construction costs Financial Considerations The current SPDC Matching Funds Budget is approximately $163,318. If the SPDC Matching Funds request from Southlake Cricket Club in the amount of $1,743 is approved, an unencumbered balance of approximately $161,575 will remain in the matching funds budget. The request also relates to Critical Business Outcome CBO5 – optimize resources through collaboration and partnerships to reduce costs and add service value. 6 Review Process Park Board recommended approval 7-0 August 12, 2014 SPDC & City Council original approval September 2014 SPDC & City Council consideration of additional request December 1, 2015 Parks and Recreation Board recommended approval of the cricket pitch project at their meeting in August 2014   SPDC and City Council approved the original matching funds request in the amount of $6,916 in September 2014   SPDC and City Council will consider the additional matching funds request in the amount of $1,743 on December 1, 2015 7 Questions?
