Item 4B Renew annual purchasing agreements for utility parts Item 4B Good evening Honorable Mayor and members of the City Council. This is Cristina McMurray, Deputy Director for Public Works, and I will be presenting Item 4B, to renew annual purchasing agreements for utility parts for your consideration. 1 Requested Action Renew annual purchasing agreements for utility parts with Atlas Utility Supply and H. D. Supply Waterworks Staff recommends that City Council renew annual purchasing agreements for utility parts with two vendors: Atlas Utility Supply and H. D. Supply Waterworks 2 Utility Parts Bid Bids Received December 6, 2013 Vendors Atlas Utility Supply H.D. Supply Waterworks Contract Term 12 months 2nd of 2 annual renewals E-series and PD compound water meters Throughout the year, the Water and Wastewater Divisions of Public Works make numerous purchases of parts and supplies for use in the repair and maintenance of the water and sewer system. In order to obtain competitive pricing and facilitate these purchases, staff solicited sealed bids for the most commonly used supplies from local vendors.   On December 6, 2013, the City received sealed bids for the annual contract for the purchase of utility parts. Two vendors submitted bids for these products. The terms of the contract were for a total of 3 years. The current renewal being considered will be the second of two twelve month renewal options for these purchase agreements.   3 Utility Parts Bid Funding – FY16 Water and Wastewater Operating Budgets Atlas – 0% increase H.D. Supply – 2.72% increase Funding for purchases under these agreements is available in the FY16 operating budgets for the Water and Wastewater Divisions. The total of purchases during this contract period will not exceed the funding in the budget approved by the City Council. Atlas Utility Supply did not request a price increase on any of their materials. H. D. Supply Waterworks did request an overall contract increase of two point seven two percent (2.72%) as allowed per contract. 4 City of Southlake Strategy Map Critical Business Outcomes CBO1 - Continue to implement Southlake 2030 Plan by focusing on short-term initiatives.
